Virtual Operations & Administrative Coordinator

ABOUT THE ROLE

This is a full-time, salary-based position, not an hourly role.
Compensation is based on results and responsibility, not hours worked. Overtime is not applicable.

This role supports daily operations and administrative execution to ensure business continuity, staffing coverage, and timely issue resolution. The position requires someone who can handle urgency, follow-through, and daily accountability, while also completing required administrative tasks.

Administrative work is part of the role, but operational execution comes first.

CORE RESPONSIBILITIES

Operations & Staffing Support
• Ensure assigned schedules are staffed and worked daily
• Monitor for missed visits and support same-day resolution
• Identify staffing gaps and follow up until resolved
• Communicate directly with:
• Caregivers
• Clients
• Case managers (when applicable)
• Escalate urgent operational issues daily to operations leadership

Onboarding & Compliance Support
• Assist with caregiver hiring and onboarding
• Ensure all required onboarding forms and identification are completed on the front end
• Coordinate with compliance personnel to address documentation issues promptly
• Support follow-up on any onboarding or compliance gaps

Administrative Support
• Scheduling coordination and confirmations
• Documentation of staffing activity and issue resolutions
• Daily reporting and summaries
Email, phone, and text follow-ups related to operations
• General administrative tasks tied directly to operational needs

ACCOUNTABILITY & EXPECTATIONS
• This role requires daily follow-through
• Issues should be addressed and resolved, not deferred
• Communication with leadership must include context and next steps
• The role requires independent action without constant direction

COMPENSATION STRUCTURE
• Salary-based position
• No overtime
• Availability may be required outside standard hours based on business needs

REQUIRED QUALIFICATIONS
• Experience in healthcare operations, home care, staffing, BPO operations, or administrative coordination
• Comfortable with phone communication and urgent follow-ups
• Strong organizational and tracking skills
• Ability to work independently and manage multiple priorities
• Strong written and verbal English communication skills
