OVERVIEW
We’re looking for a UGC Coordinator who can confidently manage the day-to-day execution of creator campaigns, from sourcing creators through to final asset delivery.
You’ll be the operational backbone of our UGC pipeline. That means coordinating creators, managing timelines, keeping campaigns organised, and making sure nothing slips through the cracks.
This role is ideal for someone who is highly organised, detail-oriented, calm under pressure, and comfortable running multiple campaigns at once. You’ll work closely with Creative Strategists, editors, and brands to ensure UGC campaigns are delivered on time, on brief, and ready for performance marketing.
CORE RESPONSIBILITIES:
- Source and onboard UGC creators aligned to campaign briefs and brand style
- Send and manage creator contracts, track signatures, and follow up
- Shortlist creators and share recommendations with Creative Strategists for approval
- Create order sheets with accurate creator + product details, and send to brands for fulfilment
- Send creator briefs and upload links, confirm deliverables and deadlines are understood
- Monitor creator inboxes and respond to questions or concerns quickly and clearly
- Track campaign progress across active creators and update internal trackers daily
- Follow up on pending deliverables, missed deadlines, and outstanding actions
- Send reminders ahead of submission deadlines to prevent delays
- Review incoming video submissions to ensure all required assets are delivered
- Organise and rename raw footage so it’s clean and ready for editing
- Flag missing assets or issues and coordinate resubmissions where needed
- Forward approved content to the editing team with clear notes and context
- Handle creator payments, ensuring deliverables meet requirements before processing
- Send whitelisting links and verify account connections where required
- Escalate blockers (late deliveries, missing products, ad access/whitelisting issues, creator drop-offs)
YOU SHOULD HAVE:
- 1–2 years experience in UGC coordination, creator management, or influencer/creator operations (agency or brand-side)
- Strong organisation and attention to detail (trackers, timelines, assets, contracts)
- Experience managing creators and keeping deliverables on schedule
- Confidence using trackers/spreadsheets/tools to manage multiple campaigns at once
- Clear written communication, especially for briefs and deadline follow-ups
- Calm, solution-focused approach when things don’t go to plan
- Proactive mindset, you spot slippage early and act fast
