Digital Operations & Marketing Virtual Assistant

Real Estate | Remote | Long-Term Growth Role

About the Role

I’m building a growing real estate business working across residential and commercial clients. As the business continues to scale, I’m looking for a Digital Operations & Marketing Virtual Assistant with real estate experience who enjoys being involved, adding structure, and helping the business run smoothly day to day.

This role is designed to be hands-on and collaborative. You’ll support marketing, systems, operations, and administrative functions that keep everything organized and moving forward. There is room to bring ideas, improve workflows, and help shape how the business operates as it grows.

The role will start part-time, with the intention and opportunity to transition into a full-time position as the business scales.

What You’ll Be Responsible For
Social Media & Marketing (Engagement + Growth)

Collaborate, create and support engaging, relevant content tailored to real estate audiences

Stay current on platform trends, formats, and best practices to improve reach and engagement
(Reels, Shorts, carousels, hooks, captions, posting cadence, etc.)

Help grow followers, engagement, and inbound leads that convert into real business opportunities through consistent, thoughtful content.

Support content planning and execution for:

Market updates and insights

Educational real estate content

Property listings and launches

Behind-the-scenes and personal brand content

Assist with scheduling, posting, and performance tracking

Review engagement metrics and identify what’s working to refine future content

Content, Design & Video

Write and edit listing descriptions, captions, emails, and website content

Design clean, on-brand marketing assets using Canva or similar tools

Edit short-form and long-form video (reels, property tours, market updates)

Use AI tools to speed up content creation, editing, and repurposing

Maintain consistency across all platforms

Website & Digital Assets

Help keep real estate websites and landing pages up to date

Assist with posting listings, featured properties, and market content

Make basic updates to pages as needed (text, images, links)

Flag usability or content issues and suggest simple improvements

CRM, Leads & Follow-Up

Manage real estate CRM systems and maintain clean, organized data

Build and maintain follow-up and drip campaigns for buyers, sellers, and investors

Connect websites, forms, email, and social platforms to CRM workflows

Monitor pipelines and ensure timely follow-ups

Support inquiries, showing requests, and ongoing client communication

(Current CRM is Lofty, or similar real estate CRMs)

Operations, Admin & Day-to-Day Support

Calendar and inbox management

Meeting coordination and task tracking

File, document, and system organization

Support daily execution so listings, leads, transactions and marketing stay on track

Assist with administrative tasks related to business operations

Provide light support with invoices, expense tracking, and records as needed

Systems & Continuous Improvement

Identify inefficiencies or gaps in workflows

Build simple, repeatable processes and SOPs

Suggest and implement automation or efficiency improvements

Act as a proactive problem-solver in a growing business environment


CRM & Automation

Lofty (current CRM) or comparable real estate CRM

Basic automation tools (Zapier or similar)

Admin & Finance (Nice to Have)

Wave, QuickBooks, or similar tools for light admin support

AI Tools

ChatGPT or similar AI tools to support efficiency and content creation

What I’m Looking For

Required (Real Estate Experience)

2–5+ years experience working in real estate

Hands-on experience supporting:

Real estate marketing and listings

CRM and lead follow-up workflows

Buyer and seller communications

Comfortable working independently and managing responsibilities

Strong written and spoken English

Highly organized, reliable, and detail-oriented

Nice to Have

Familiarity with basic bookkeeping or admin tools such as Wave, QuickBooks, or similar

Comfort tracking invoices, expenses, or simple financial records (not full bookkeeping)

Experience with MLS systems and real estate platforms (i.e.., Dotloop, Webforms)

Experience supporting Canadian real estate transactions (both Commercial and Residential) is a plus

Familiarity with basic SEO and analytics tracking

Experience building systems or workflows

Understanding of how AI can be used to improve processes and workflows

Comfortable working across time zones

Working Style & Availability

Part-time to start, with the opportunity to grow into full-time as the business scales

Consistent weekly availability

Some overlap with PST business hours preferred

Clear, proactive communicator who flags issues early

Interested in a long-term role, not short-term projects

Compensation

USD $5–$9 per hour, negotiable based on experience and overall fit.

Long-term role with stability, growth in hours, and performance-based pay increases as the business scales.
