JOB OVERVIEW

We are a growing U.S.-based home healthcare agency providing in-home nursing and personal care services to children, adults, and seniors. We are seeking two (2) reliable, detail-oriented Virtual Assistants (VA) to serve as the first point of contact for incoming calls and to manage daily schedule updates using Caryfy.

Key Responsibilities

Phone & Communication Support
- Answer incoming calls professionally and courteously
- Screen and route calls appropriately (clients, caregivers, nurses, case managers)
- Take accurate messages and document call notes
- Handle basic inquiries regarding schedules, call-outs, and coverage
- Maintain HIPAA-compliant communication at all times

Scheduling & Caryfy Management
- Update caregiver and nurse schedules in "Caryfy"
- Process call-outs, late arrivals, and shift changes
- Communicate schedule changes to staff via phone, text, or app
- Monitor shift confirmations and attendance alerts
- Escalate urgent staffing issues to management as needed

Administrative Support
- Maintain accurate records of schedule changes
- Log daily call-outs and replacements
- Support supervisors with real-time schedule coordination
- Follow agency workflows and escalation protocols

Required Qualifications
- Excellent spoken and written English
- Experience supporting home care, home health, or healthcare agencies
- Knowledge of caregiver/nurse scheduling workflows
- Experience handling urgent staffing situations
- Familiarity with HIPAA or healthcare compliance standards
- Prior experience as a Virtual Assistant or Call Center Agent
- Experience with Caryfy scheduling software
- Strong phone etiquette and customer service skills
- Ability to multitask in a fast-paced environment
- Reliable internet connection and quiet workspace
- Familiarity with U.S. time zones (especially Eastern Time)

Work Schedule
- Must be available during U.S. Eastern Time business hours
- Some flexibility for early mornings, evenings, or urgent coverage situations
- Monday - Friday EST 6pm - 8am; Saturday & Sunday EST 8am - 8pm
