Role Overview
This role serves as the operational backbone of Clay Homes Real Estate, supporting the executive by managing calendar, communications, listings, transactions, database systems, light marketing, and miscellaneous personal assistance. The primary goal is to protect the executive’s time so he can focus on meeting clients, listing homes, and growing the business.
Core Responsibilities
Executive Time & Calendar Management
Own the executive’s calendar, ensuring accuracy, confirmation, and priority-aligned scheduling.
Communications & Inbox Management
Own and manage all inbox communications
Listing Coordination (Clayton’s Listings)
Own the preparation, launch, marketing coordination, and system management of all listings to ensure every property follows a consistent, professional process from pre-market through contract.
Transaction Coordination (Contract to Close)
Manage all escrows and transactions from contract acceptance through closing, coordinating documentation, compliance, inspections, negotiations, escrow, lenders, and timelines to ensure smooth, on-time closings.
Database Management (Clients & Leads)
Own the organization, accuracy, and long-term nurturing of all client and lead records to ensure consistent follow-up and relationship continuity.
Marketing & Media Support
Support basic marketing initiatives by creating documents and flyers in Canva, assisting with simple video editing, and managing light social media and listing-related promotional tasks.
Miscellaneous Personal Assistance
Provide flexible virtual support with miscellaneous personal and administrative tasks to free the executive to focus on client meetings, listings, and core real estate activities. Available and willing to supporting Executive’s additional projects as they present themselves.
