JOB OVERVIEW

Starting Rate: $7.5/hour
Hours: 10-20 hrs/week (with full-time potential)
Working time: Flexible except must be available for some meetings during EST morning hours (9 PM-1 AM PH time)

Summary – This job focuses on Hiring (primary) and Client Relations(secondary) to support the growth of a fast-growing US Virtual Assistant staffing company. The ideal candidate will manage end-to-end PH VA recruitment for US companies, follow up with new US clients, support US clients during onboarding, and help systemize business processes. This role requires strong communication skills, excellent interpersonal skills, and proven recruitment capabilities.

REQUIRED: Fluency in English with clear, near-perfect pronunciation (Very Important), excellent internet connection. Strong phone, email, instant messaging, and communication (written and verbal) skills.

REQUIRED: Minimum 1 year of experience in Talent Acquisition, Recruitment, HR coordination, or Virtual Assistant hiring. (preferably interviewing PH VAs for US companies)

REQUIRED: Excellent interpersonal skills, strong networking rapport. (this is a people-job)
REQUIRED: Prior experience recruiting, interviewing, and evaluating Virtual Assistants for a wide variety of job roles (appointment setters, executive assistants, marketers, etc.).

REQUIRED: Experience creating job posts, managing applicant pipelines, scheduling interviews, and screening candidates.
REQUIRED: Strong organizational skills, attention to detail, the ability to follow through, and the ability to prioritize tasks in a fast-scaling company.
REQUIRED: Must use Time-tracking software - WebWork (will be provided)

Responsibilities:
Talent Acquisition (Hiring)
• Attend Client Meetings with the founder to assess the service needs of the client
• Create job postings, source candidates, and manage applicant pipelines
• Screen resumes and conduct initial interviews with VA candidates
• Administer test tasks, skill assessments, and personality evaluations
• Maintain a pool of vetted Virtual Assistants for different roles
• Manage onboarding steps before client assignment
• Maintain organized recruitment files, notes, and records
• Communicate with applicants professionally and consistently

Client Relations
• Understand client needs, goals, challenges, and priorities through regular communication and active listening
• Identify opportunities for upselling, cross-selling, or expanding services to meet evolving client needs
• Collaborate with internal teams to deliver solutions and meet client expectations
• Assist in planning marketing campaigns and brand messaging
• Stay informed about industry trends, competitor activities, and client business developments
• Prepare contract documents for signatures
• Build and manage the onboarding plan (checklist, milestones, deadlines) and keep both internal team and client aligned.

Operations & Coordination
• Run weekly internal meetings and prepare agendas/follow-ups
• Maintain dashboards, trackers, and performance sheets
• Improve internal SOPs, workflows, and automations
• Support the founder with updates, reports, and coordination
• Assist with special administrative and marketing projects

Preferred Experience & Skills:
• Experience hiring Virtual Assistants for U.S.-based businesses
• Experience managing or coordinating remote teams
• Familiarity with project management tools (ClickUp, Trello, Notion, Asana)
• Ability to write and communicate professionally
• Highly organized with excellent follow-through
• Comfortable in a fast-paced environment with shifting priorities
• Ability to work independently and proactively
• Tech-savvy with cloud applications and automation tools
• Ability to maintain confidentiality and professionalism
• Experience creating SOPs or improving processes is a plus

Stretch Goals/responsibilities
• Propose and implement automated workflows (CRM, Email, PM tools)
• Improve recruitment funnel efficiency and shorten hiring timelines
• Assist in creating training materials and onboarding flows
• Support development of monthly analytics dashboards
• Manage client acquisition support tasks
