Position Summary
We are seeking a Case Manager / Intake Specialist who brings both a heart for service and strong communication skills. The ideal candidate will have a teaching or healthcare background, or a degree in teaching, with the ability to explain complex processes clearly, guide clients through onboarding steps, and ensure every veteran feels supported from their first call through claim completion.
This position requires excellent attention to detail, empathy, and a proactive approach to client coordination and documentation.

Key Responsibilities
• Serve as the first point of contact for veterans beginning their claim journey.
• Conduct structured intake interviews and verify completion of onboarding steps.
• Review and organize veteran documentation (questionnaires, decision letters, DBQs, medical records).
• Educate clients on the VA claims process, timelines, and next steps.
• Coordinate with the Prep and Strategy departments to ensure smooth case transition.
• Maintain accurate case notes and updates within the CRM system.
• Follow up with clients regarding document submissions, scheduling, and pending tasks.
• Support company initiatives to improve intake efficiency, client satisfaction, and communication flow.

Qualifications
• Preferred Background: Teaching, healthcare, social services, or case management.
• Degree in Teaching or Education strongly preferred.
• Excellent written and verbal communication skills.
• Strong organizational and multitasking abilities.
• Ability to handle confidential information with discretion.
• Compassionate and patient demeanor when working with veterans and their families.
• Comfortable working in a structured, process-driven environment.
• Experience with CRMs (such as Dubsado, ClickUp, or similar) is a plus.
• Prior experience in VA claims, healthcare administration, or educational advising is highly valued.

Additional Requirements
• Must have access to a reliable personal computer with a stable internet connection.
• Must be available and visible on Zoom during designated work hours for meetings, client interactions, and team collaboration.
• Must be proficient in Google Workspace (Docs, Gmail, Calendar, Drive) and comfortable using cloud-based systems.
• Scheduled shifts are required; this is not a flexible-hours position.
• Must be available for occasional weekend overtime or training sessions as needed.
• Zoom visibility during your shift is a mandatory requirement.

Preferred Experience
• Background in healthcare (medical assistant, scheduler, insurance verifier, etc.)
• Experience with disability claims, legal intake, or insurance processing
• Experience working with veterans or military populations
