JOB OVERVIEW

Role Summary:
You will act as the execution arm of a fast-growing founder-led business. Your job is to take clearly defined priorities, processes, and instructions and turn them into consistent execution across inbox, calendar, systems, and ongoing projects.

This is not a traditional virtual assistant role. You will be responsible for protecting the founder’s time, maintaining operational momentum, and ensuring that nothing falls through the cracks. You do not need to make strategic decisions. You do need to be extremely reliable, detail-oriented, and comfortable operating from written instructions and rules.

What Success Looks Like:
- The founder rarely opens their inbox without context
- Meetings are scheduled intentionally, not reactively
- Follow-ups happen without being chased
- Systems are kept clean and up to date
- Recurring workflows run without reminders
- The founder spends time deciding, not tracking

Core Responsibilities:
Inbox and Communication Management
- Triage and label incoming emails daily
- Draft standard responses for review
- Flag urgent, sensitive, or revenue-related messages
- Track follow-ups and ensure responses are sent

Calendar and Scheduling
- Schedule, reschedule, and confirm meetings
- Protect focus time and enforce calendar rules
- Prepare daily and weekly calendar summaries
- Handle logistics for calls and meetings

Task and Project Support
- Turn messages, notes, and voice memos into tasks
- Maintain task and project trackers
- Monitor deadlines and follow up proactively
- Prepare status summaries and next-step recommendations

Systems and Documentation
- Maintain CRM and internal systems
- Organize files and folders using defined conventions
- Follow and update SOPs and checklists
- Document recurring processes as they emerge

Research and Preparation
- Conduct research with clear output formats
- Compile summaries and comparisons
- Pre-package information to support decisions

Required Skills and Traits:
- Exceptional written English
- Extreme attention to detail

- Tech-savvy with common tools (email, calendars, task systems)

Nice to Have:
- Experience supporting a founder or executive
- Familiarity with CRM systems
- Experience with remote teams
- Ability to summarize information clearly
