Real Estate Property Manager & Office Assistant

Position Overview:
We are seeking a proactive and organized property manager to support our company in managing daily operations and administrative tasks. This role requires excellent communication skills, attention to detail, and the ability to multitask effectively.

Requirements:
- Highly experienced in working with owners as Property Manager & Executive Assistant.
- Proficient in basic bookkeeping.
- Strong presentation and communication skills.
- Adequate proficiency in English for effective phone communication and correspondence.
- Experience with real estate property management.

- DoorLoop, PadSplit, UpListing
- Go High Level CRM
- Google Workspace
- Experience in real estate transactions

Property Manager Assistant Tasks:
- DoorLoop management of clients/tenants, including reconciling rent roll and preparing statements
- Manage late payments and send payment reminders; check cameras
- Prepare listings and listing advertisements (for rentals/rooms)
- Call for lease options and handle lease renewals and rent increases
- Manage tenant onboarding & offboarding checklists
- Manage application screening (income verification, rental history, background checks)
- Coordinate maintenance requests, dispatch vendors, and collect quotes
- Track and follow up on open work orders until completion
- Prepare and send late payment notices, payment reminders, and payment plans
- Update all tenant files and documents in DoorLoop
- Monitor resident compliance with house rules, track weekly income eligibility, and communicate if delinquencies occur
- Manage room turnovers, room listings, and resident screening
- Reconcile DoorLoop rent roll with payouts
- Prepare monthly owner statements for review
- Track vendor invoices and prepare payments
- Maintain an updated list of cleaners, contractors, landscapers, and handymen
- Coordinate multiple vendors on property turns
- Manage quotes, negotiate pricing, and ensure satisfaction

Office Admin Tasks:
- Inbox management (organize emails and flag important ones)
- Calendar management (book meetings, showings, inspections, closings)
- Create and update SOPs and internal process documentation
- Organize digital files across Google Drive
- Perform research and data collection as requested by leadership
- CRM/GHL maintenance, including responding to missed calls, texts, and social media messages
- Pay vendors and manage vendor invoices (light bookkeeping)
- Create Canva graphics for listings, social media posts, and newsletters
- Post consistently on Instagram, TikTok, Threads, and Facebook groups
- Deploy weekly newsletters to investor/buyer lists
- Prepare and send investor/buyer communications and marketing reports

Work Schedule & Salary
- Type: Full-time, remote, Philippines-based.
- Schedule: With at least 5 hours overlap with U.S. daytime.
- Salary: Competitive, starting at $900/mo
