JOB TITLE
Executive Assistant to Founder & CEO ????

As an Executive Assistant at The Naturally Clear Vision Institute, you will serve as the right hand to our founder, Claudia. You are highly organized, technically proficient, and think strategically. You see what needs to be done before being asked and take complete ownership of your responsibilities from start to finish. You thrive working independently and anticipate needs before they arise, keeping everything running smoothly so Claudia can focus on our mission of empowering 10 million people worldwide.
RESPONSIBILITIES
Scheduling & Calendar Management:
Manage complex scheduling for podcast guests, affiliates, sponsors, and meetings, including consistent follow-up.
Keeping affiliate links and sponsor pages up to date
Coordinate podcast production logistics, getting headshots, bio, assets and providing them for distribution.
Manage calendars, scheduling, and administrative workflows
Keeping the master calendar updated
Coordinate internal team communications and documentation.
Communicate weekly schedules to the team and resolve conflicts proactively
Executive Support:
Pull daily tasks from ClickUp and follow up for completion and provide status updates.
Anticipate Claudia's needs and address them proactively
Communicate directly with the Integrator on progress and support needs
Google Drive Organization & Management, Data Entry:
Manage, organize, and maintain Google Drive with a systematic filing structure
Keeping video & audio assets organized and up to date.
Ensure all documents are correctly labeled, accessible, and up-to-date
Create efficient systems for information retrieval
Create and keep master lists up to date
Pull all call replays and upload to Vimeo and our membership site.
Memberships, Community + Social Engagement:
Reply to social media posts, DM’s and back up customer service
Monitor community activity and foster a positive, engaged environment
Administrative tasks for reminders and communications for NCV, CVC, CVW
Administrative Operations & Quality Assurance:
Perform accurate data entry to maintain and update records, including non-launch program and
Pull and format transcriptions from calls and manage content
Quality assurance testing and review during launches
Attend weekly virtual tea
REQUIREMENTS
Technical Skills:
Expert-level proficiency in Google Suite (Docs, Sheets, Slides, Drive, Calendar)
Experience with ClickUp or similar project management tools
Experience with online course platforms and membership sites
Experience with social media management
Strategic Competencies:
Exceptional organizational skills with meticulous attention to detail
Critical thinking: seeing the full scope of tasks and identifying what's needed
Proactive problem-solving and gap identification
Quality assurance mindset
Efficiency in English
PREFERRED SKILLS (NOT REQUIRED)
Experience with ClickFunnels, ThriveCart, Xperiencify, Canva, Zapier
Video or audio editing
AI tools knowledge

Customer support experience
Experience in the natural health, wellness, or holistic health industry
