Job Summary
We are seeking a highly organized and detail-oriented Short-Term Rental Operations Virtual Assistant to support the daily management of multiple U.S.-based Airbnb properties. Reporting directly to the Director of Operations (DOO), you will be responsible for ensuring seamless guest experiences, maintaining high property standards, and strictly following established Standard Operating Procedures (SOPs) within HostAway and other management platforms.
Key Responsibilities
1. Guest Communications & Reservations
- Response Speed: Review and respond to all guest messages every 30 minutes during your shift
- Booking Management: Process direct bookings in HostAway, ensuring full payment and deposits are received prior to confirmation
- Guest Verification: Verify guest identities via the Authenticate App and confirm all liability waivers are signed before check-in
- Alterations & Cancellations: Enforce cancellation policies and manage stay changes to protect revenue
2. Daily Operations & Quality Control
- Check-In Verification: Review automated check-in messages before 3:00 PM local time, confirming accuracy of all property details and links
Cleaning Oversight:
- Schedule cleanings within 7 days of booking
- Quality Audits: Review cleaning photos and walkthrough videos against the master checklist to ensure standards are met
Security Monitoring:
- Monitor Ring cameras for occupancy compliance and unauthorized pets
- Respond to noise alerts within 20 minutes
3. Financials & Reporting
- Market Research: Conduct competitor pricing analysis every Monday, Wednesday, and Friday

- Supply Management: Add low-stock supplies to digital carts (Amazon/Walmart) for management approval
Requirements
- Language: Excellent written and spoken English
- Communication: Must use WhatsApp for internal communication and HostAway for guest messaging
- Technical Skills: Proficient with HostAway, Airbnb, VRBO, Google Calendar, and
- Accountability: Ability to submit daily start-of-shift and end-of-shift updates
- Policy Compliance: Strict adherence to SOPs; failure to follow procedures may result in disciplinary action
Nice to Have
- Experience using PriceLabs for dynamic pricing
- Background in property management, customer service guest recovery, or damage control
