Homeseeker Vacation Homes is a short-term rental management company operating premium cottages across Ontario, Canada. We run a systems-driven operation focused on operational reliability, strong guest experience, and clean execution. Our goal is to scale without chaos and remove the founder from daily operations.
The Role
We are hiring a hands-on STR Operations VA to support day-to-day property management, guest support, and technical operations. This role is not bookkeeping, not sales-focused, and not social-media-first. Your primary responsibility is to ensure that our PMS and OTA systems run smoothly, listings are accurate and in sync, cleanings are scheduled correctly, and guests are supported through systems, templates, and clear escalation paths.
Core Responsibilities
1. PMS & Technical Operations: Manage and maintain our PMS (Hospitable); set up, adjust, and troubleshoot guest messaging automations; diagnose and resolve PMS ? OTA sync issues; support booking, cancellation, alteration, and calendar accuracy.
2. OTA Listing Management & Channel Parity: Manage listings across Airbnb, VRBO, Booking, and Google Vacation Rentals (strong plus); ensure pricing, availability, rules, and content remain consistent across all channels; fix listing, availability, and rate issues; support listing quality improvements (titles, descriptions, amenities, photos).
3. Turno & Cleaning Scheduling: Manage cleaner scheduling using Turno (or similar tools); ensure every booking has a confirmed and accurate clean; handle same-day turnovers, changes, and exceptions; escalate issues early to prevent missed cleans; maintain clear communication with cleaners and ops team.
4. Guest Support & Property Management: Respond to guest messages during assigned coverage windows; use templates and automations to meet response SLAs; handle routine guest issues calmly and professionally; escalate non-standard or sensitive cases when needed.
5. Ops Coordination & Communication: Track tasks and issues in Monday; communicate clearly with the team via Slack; keep tickets updated and properly closed.
6. Property Onboarding & Offboarding: Lead onboarding for new properties (coordinating photography, updating owners, ensuring compliance with licensing regulations) and manage offboarding tasks (deactivating listings across all platforms, coordinating final cleans and inspections, updating records).
Optional / Nice-to-Have: Social media posting or light content updates; light sales or inquiry follow-up; experience assisting with owner communications.
Required Experience
- Proven experience using Hospitable in a real STR environment.
- Hands-on experience managing listings on multiple OTAs.
- Experience with Turno or managing cleaner scheduling at scale.
- Familiarity with Monday and Slack.
- Basic familiarity with PriceLabs (execution level, not pricing strategy).
- Strong written English and attention to detail.
Work Structure: Full-time (~40 hours/week). Clear SOPs and systems already in place. 30-day trial period with clear performance expectations.
