About Us
We are a growing Property & Serviced Accommodation business working with landlords, contractors, and partners across the UK. We operate professionally, with systems, clear processes, and a strong focus on follow-up and relationship management.
We attend business events, generate high-quality leads, and need a sharp, organised HubSpot CRM VA to ensure no opportunity is lost.
The role
You will be responsible for setting up, managing, and maintaining our HubSpot CRM system, ensuring that all leads are:
Captured accurately
Categorised correctly (Landlords / Contractors / Investors)
Followed up on time
Moved through the correct pipeline stages
Reported clearly to the founder
This is a systems and operations role, not a sales role.
Key Responsibilities
CRM Setup & Management
Build and manage 3 HubSpot pipelines (Landlords, Contractors, Investors)
Create and maintain custom properties and tags
Ensure every contact and deal is complete and correctly assigned
Lead Operations
Process leads from events, QR forms, WhatsApp, and
Apply priority (Hot / Warm / Cold)
Create and monitor follow-up tasks
Trigger sequences and workflows
Automation & Sequences
Load
Assign contacts to the correct sequences
Monitor open rates, replies, and booked meetings
Reporting
Daily pipeline and hot-lead report
Weekly performance summary
Flag urgent opportunities immediately
Required Skills
Proven HubSpot CRM experience (pipelines, workflows, sequences, properties)
Strong attention to detail
Process-driven mindset
Excellent written English
Comfortable working UK hours
Property or sales-ops background is a plus
