We’re hiring a real-estate-experienced QuickBooks Online bookkeeper/accountant to support a growing real estate organization with multiple entities and deal types (rentals, renovations, and property operations). This role is execution-heavy: reconcile accounts, clean up the books quickly, and produce reliable monthly reports that owners/investors can trust.
You must be highly proficient in QBO and understand real estate bookkeeping norms (rent income, security deposits, CapEx vs repairs, owner draws, escrow, property-level tracking, etc.).
Core Responsibilities
QBO Cleanup + Structure
Review and clean up QBO (chart of accounts, payees/vendors, bank rules, uncategorized items)
Apply consistent categorization for real estate operations:
- Rent income, late fees, application fees
- Repairs & maintenance vs CapEx/improvements
- Utilities, turnover/make-ready, landscaping, pest control
- Property management fees, leasing fees
- Insurance, property taxes, licenses/permits
Maintain clean classes/locations/properties (if used) for property-level reporting
Reconciliations + Accuracy
Reconcile bank and credit card accounts on time
- Properly record and resolve:
- Transfers between accounts/entities
- Credit card payments (avoid double-counting)
- Duplicate bank-feed items and mis-mapped rules
- Vendor credits, refunds, chargebacks
Real Estate-Specific Accounting Tasks
Track and properly classify:
- Security deposits (liability account) and deposit returns
- Escrow activity (tax/insurance, if applicable)
- Loan payments split correctly (principal vs interest)
- Owner contributions/draws and intercompany transfers
- Rehab/renovation costs: allocate to the correct property/project
Help ensure books support lender/investor needs (clean financials, clear documentation)
Possible ongoing bookkeeping 5-7 hours weekly commitment:
- Deliver a clean, owner-ready financial package:
- Profit & Loss (overall + by property/class if set up)
- Balance Sheet (clean liabilities/loans/deposits)
- Cash summary and notes on major variances
- A/R and A/P summary (if used)
- Weekly update: “What’s done / what’s stuck / what we need from you”
Requirements (Must-Have)
3+ years in QuickBooks Online (not Desktop)
Real estate bookkeeping experience (rentals + property expenses)
Strong understanding of:
- CapEx vs repairs/maintenance
- Security deposits as liabilities
- Loan/interest splits and balance sheet integrity
- Property-level tracking using classes/locations/projects (as applicable)
Proven ability to do catch-up/cleanup bookkeeping and reconciliations quickly
Strong written English and proactive communication
Able to overlap at least 1–2 hours with US business hours for check-ins
Nice-to-Have
Experience with multi-entity structures (LLCs/holding companies)
Experience with rehab/project cost tracking and job costing
Basic understanding of 1099 vendors (contractors)
Success Metrics (Definition of Done)
By end of month:
- All assigned accounts reconciled through the agreed period
- Minimal “Ask My Accountant,” clean categories, no duplicated income/expenses
- Security deposits, loans, and owner activity properly reflected on Balance Sheet
- Owner-ready reporting package delivered on time
- Clear list of open items + recommended next steps
