About the Role:

We’re a mortgage lending business seeking a reliable Virtual Assistant (VA) to support daily operations using Arive (our all-in-one CRM, LOS, and origination platform). This role focuses on lead management, client nurturing, marketing coordination, and realtor partnerships to help streamline loan pipelines and maintain strong relationships. If you’re efficient, detail-oriented, familiar with mortgage industry tools like Arive, and can handle CRM updates accurately, this is a great opportunity to contribute to a growing team remotely.

Key Responsibilities:

The VA will primarily handle the following tasks within Arive and related tools:

1. Lead Pipeline Management:

• Sort leads into categories: “Hot,” “Cold,” “On Hold,” “Not Responsive.”

• Update lead statuses in Arive CRM weekly.

• Collect and upload required documentation.

• Flag leads needing immediate LO (Loan Officer) call follow-up.

• Keep detailed notes: last contact date, action needed, urgency level.

2. Email Campaigns & Check-Ins:

• Send weekly touchpoint emails (e.g., rate updates, buyer tips, market trends).

• Create custom reminders for paused buyers (e.g., “Market dipped 0.25% — great time to re-engage!”).

• Manage birthday/home anniversary automations.

3. Marketing Support:

• Maintain our Blue Book (client/agent resource book) with updated QR codes linking to Instagram and videos.

• Help organize content themes and story highlights.

• Track analytics on top-performing content for agent and client engagement.

4. Realtor Partner Follow-Up:

• Send post-client-meeting thank-you emails.

• Distribute monthly co-branded marketing materials.

• Provide quarterly lead list updates for realtor partners.

Additional General Duties:

• Assist with client inquiries via email, phone, and chat, including scheduling appointments and following up on loan applications.

• Support data entry, document verification, and file organization in Arive.

• Research mortgage regulations, rates, and market trends as needed.

• Ensure all tasks comply with industry standards and are completed accurately to support smooth loan closings.

Requirements:

• Proven experience in mortgage lending, real estate, or finance (e.g., lead management, loan processing, client servicing, or administrative support in the industry).

• Familiarity with Arive CRM/platform (or similar mortgage LOS/CRM tools like Encompass, Salesforce) – must be comfortable learning/updating pipelines, notes, and automations.

• Fluent English with little to no accent for clear communication (native-level proficiency preferred).

• Availability Monday-Friday, 9 AM - 5 PM EST (strict commitment to these core hours).

• Reliable high-speed WiFi (minimum 50 Mbps download/upload) and a quiet, professional workspace free from distractions.

• Proficiency in tools like Microsoft Office, Google Workspace, email marketing platforms, and basic analytics.

• Strong organizational skills, attention to detail, and ability to work independently.

• Must pass a background check and sign a confidentiality agreement due to handling sensitive financial data.

Preferred Qualifications:

• Hands-on experience with Arive for lead tracking, email automations, or pipeline management.

• Knowledge of mortgage marketing strategies, realtor partnerships, or content analytics.

• Certification in mortgage-related fields (e.g., FHA/VA loan knowledge) or 1+ years in a similar VA role.
