Sales Administrative Assistant
Position Overview
We are seeking a highly organized and proactive Sales Administrative Assistant to provide comprehensive support to our sales team. This role combines administrative excellence with sales support capabilities, requiring someone who can manage complex schedules, coordinate customer interactions, and maintain operational efficiency while supporting the sales process from lead generation through closing.
Key Responsibilities
Customer Communication & Relationship Management
Respond promptly to customer calls and inquiries with professionalism and attention to detail
Schedule and coordinate appointments between sales representatives and prospects/clients
Conduct cold calling campaigns to support business development initiatives
Qualify leads by identifying customer needs, pain points, and potential solutions
Calendar & Schedule Management
Manage and maintain sales team calendars to optimize time and productivity
Create and distribute calendar invites for meetings, calls, and appointments
Coordinate schedules across multiple tea ---------- mbers to prevent conflicts
Ensure sales representatives are prepared and informed for all upcoming engagements
Sales Operations Support
Build and maintain sales funnels and pipelines to track lead progression
Optimize and manage the GoHighLevel CRM system for maximum efficiency
Track customer projects and ensure timely follow-up at each stage
Monitor sales activities and provide status updates to leadership
Administrative & Logistics Coordination
Arrange travel accommodations including flights, hotels, and transportation for sales team
Plan and coordinate sales events, meetings, and client entertainment
Manage email correspondence to support smooth sales operations
Maintain organized filing systems for sales documentation and client records
Business Development Assistance
Identify key decision-makers within target organizations
Support the sales team in developing new business opportunities
Assist in tailoring solutions to address specific client challenges
Help facilitate the sales process from initial contact through closing
Required Qualifications
Proven experience in sales administration or sales support role
Strong cold calling and customer communication skills
Proficiency with GoHighLevel CRM platform
Excellent organizational and time management abilities
Experience with calendar management and scheduling coordination
Demonstrated ability to handle travel arrangements and event planning
Strong written and verbal communication skills
Detail-oriented with ability to manage multiple priorities simultaneously
Self-starter with ability to anticipate needs and work independently
Preferred Qualifications
Experience supporting business development or sales teams
Familiarity with sales pipeline management and lead qualification
Background in customer service or client-facing roles
Proficiency with Microsoft Office Suite and virtual meeting platforms
