Administrative Assistant – Remote
Work Arrangement: Remote
Work Schedule: AU business hours


Role Overview
We are looking for a Junior Administrative Assistant to support our team with day-to-day administrative, client, and compliance tasks. This role is ideal for someone early in their career who is organized, eager to learn, and comfortable handling client communications in a professional services environment.
Training and clear processes will be provided.

Key Responsibilities:
-ATO & Compliance Support
-Assist with communicating with the ATO via phone and email
-Prepare basic ATO reports and assist with ICA-related tasks for clients
-Send ATO client debt notices as instructed
-Check Practice Mail in the ATO portal on a weekly basis
-Manage ATO Smart Docs every 2–3 days
-Document & File Management
-Prepare standard documents such as accountant letters, declarations, and reference requests
-Assist with preparing legal documents using Lawpath templates (e.g. NDAs, lease agreements)
-Help collate year-end documents for clients
-Prepare and send documents for electronic signing
-Organize and maintain files in OneDrive (Permanent, current year, prior years)

Client & Admin Support:
-Update and maintain client records in the CRM system
-Respond to client emails following templates and guidance
-Assist with client onboarding tasks
-Answer inbound calls via Aircall and route them appropriately
-Assist with preparing spreadsheets and basic reports when needed
-Support ad hoc administrative tasks as assigned

Skills & Tools
-ATO Portal – basic navigation, practice mail, and reporting (training provided)
-Aircall – handling inbound calls and call routing
-CRM Systems – updating client records and notes
-OneDrive / Microsoft 365 – file management and document organization
-Microsoft Excel / Google Sheets – basic spreadsheet preparation

Requirements
-Previous admin, office support, or customer service experience (preferred but not required)
-Strong attention to detail and willingness to follow processes
-Good written and verbal English communication skills
-Organized, dependable, and eager to learn
-Comfortable working remotely during AU business hours
