JOB OVERVIEW

Overview

Long Rays is an Australian premium mixer brand working with bars and hospitality venues. We’re looking for a reliable, detail-focused Sales Support Assistant to support lead generation, CRM hygiene, order processing, reporting, and enrolling qualified decision makers into a pre-approved HubSpot workflow to book meetings.

This is a long-term, systems-based role with clear SOPs provided.

Hours & Pay
8 hours per week

Either:
1 x full day (8 hours), or
2 x half days (2 x 4 hours)
Lead generation work must overlap with Australian business hours
Reporting and order processing can be done anytime
Pay: AUD $8 per hour
Ongoing role with consistent weekly work

Key Responsibilities:
1. Lead Generation (Primary Focus)
Research bars and hospitality venues across Australia
Identify correct decision makers (eg owners, venue managers, bar managers)
Enter accurate account and contact details into HubSpot
Tag and categorise accounts correctly
Write clear, useful notes explaining why the venue is a good fit

2. HubSpot Workflow Enrollment & Meeting Booking
Enrol qualified decision makers only into a pre-approved HubSpot workflow
Follow strict qualification criteria and SOPs provided
Set eligibility properties and enrol contacts correctly
Ensure all meetings are booked via calendar links only
No manual emailing, selling, or booking of meetings

3. Sales Support & CRM Hygiene
Weekly HubSpot clean-up:
Remove dead contacts
Fix bounced emails
Merge duplicates
Update deal stages correctly
Close lost deals so pipeline data is accurate
Maintain organised, up-to-date CRM records

4. Order Processing & Admin
Process selected orders using a custom order portal
Enter and manage orders in Xero
Ensure order details match CRM records
Flag any discrepancies or issues for review
Maintain accurate order tracking records

5. Reporting
Weekly reporting in spreadsheets provided
Basic pipeline and order summaries for internal use
Clear, simple, accurate data reporting

**Non-Negotiables (Please Read Carefully)**

You must:
Speak and write good English
Be confident using spreadsheets (Google Sheets or Excel)
Have experience using CRM systems (HubSpot preferred)
Have experience using Xero
Be comfortable following SOPs exactly
Be detail-oriented, structured, and organised
Be reliable and consistent with hours

No creative or marketing work
No manual emailing or booking outside workflows
This is a support and systems role, not a sales role.
