JOB OVERVIEW

Role Overview

We are seeking a detail-oriented Virtual Assistant specialising in events coordination, outreach, and communications to support the delivery and promotion of professional, business-focused events.

The role supports educational and networking events across technology and finance sectors, working with senior professionals, founders, operators, and partners. These are not consumer or lifestyle events. Precision, professionalism, and follow-through matter.

This is a part-time, remote role suited to someone who is organised, confident communicating with professional audiences, and comfortable managing multiple moving parts.

Key Responsibilities:

Event Coordination
- Assist with planning and coordination of B2B events including conferences, webinars, seminars, meetups, online summits, and professional lunches or dinners
- Manage event timelines, checklists, and task tracking
- Coordinate speakers, panellists, partners, and venues where required
- Support logistics such as registrations, calendars, agendas, and attendee communications
- Assist with post-event follow-ups and reporting
- Outreach & Partnerships
- Conduct structured outreach to potential speakers, partners, sponsors, and attendees
- Manage email and LinkedIn-based communications using provided templates or briefs
- Track outreach activity and responses in simple CRM or spreadsheets
- Follow up consistently and professionally

Communications & Promotion
- Draft and schedule clear, professional event communications including invitations, reminders, confirmations, and follow-ups
- Assist with basic promotional copy for email and social channels
- Ensure messaging is accurate, timely, and aligned with professional audiences
- Coordinate updates across tools such as email platforms, calendars, and event pages

Skills & Experience
- Previous experience supporting events, community, marketing, or operations in a B2B or professional context
- Strong written English and professional communication skills
- High attention to detail and strong organisational habits
- Comfortable working with calendars, spreadsheets, email tools, and basic CRMs
- Confident communicating with senior professionals, founders, and partners
- Able to work independently, prioritise tasks, and meet deadlines
- Experience in technology, finance, or professional services is strongly preferred but not mandatory.

Working Style & Expectations
- Remote and asynchronous, with clear deadlines and deliverables
- You will be given structure, context, and priorities, but are expected to execute with minimal hand-holding
- Reliability, clarity of communication, and follow-through are critical
- This role suits someone who enjoys making complex coordination feel simple

Time Commitment
- Approximately 15 to 25 hours per week
- Flexible hours, with some time sensitivity around live events and deadlines

Compensation
- Fixed monthly rate, commensurate with experience
- Opportunity for ongoing / FT work as event volume grows
