Role Overview

The Marketing & Sales Coordinator (Data & Operations) is responsible for keeping our marketing and sales engine organized, visible, and accountable. This role ensures that leads, campaigns, and sales activity are properly tracked, logged, and communicated so leadership can make fast, informed decisions.

This is an operations-first coordination role, not a creative or closing position. You’ll work behind the scenes turning activity into clarity.

Core Responsibilities
1. Marketing & Sales Data Coordination

Track and log marketing and sales activity across campaigns and pipelines.

Maintain accurate records of:

Lead volume by source

Appointment bookings

Show / no-show data

Deal status updates

Ensure all activity is properly recorded in GoHighLevel and internal tracking sheets.

Audit data regularly to identify gaps, duplicates, or inconsistencies.

2. CRM Management & Pipeline Hygiene

Create and update CRM tasks for:

Sales follow-ups

Campaign reviews

Stalled or at-risk leads

Maintain clean pipeline stages and internal tags, such as:

New Lead

Contacted

Booked

Needs Review

Support sales reps by ensuring nothing falls through the cracks.

3. Reporting & Internal Visibility

Update master marketing and sales dashboards weekly.

Ensure data syncs correctly between Google Sheets and GoHighLevel.

Assist leadership with visibility into:

Lead flow trends

Conversion bottlenecks

Follow-up gaps

Flag red-zone issues (low lead quality, stalled pipelines, missed follow-ups).

4. Internal Communication

Post clear end-of-day (EOD) summaries in Slack (Marketing/Sales channel), including:

Leads tracked

Pipelines updated

Issues flagged

Tasks created

Communicate proactively when trends or anomalies appear.

Weekly Deliverables

Accurate and up-to-date CRM pipelines

Synced marketing and sales tracking sheets

Daily Slack EOD summaries

Weekly performance snapshot highlighting risks and trends

Key Performance Indicators (KPIs)
