We are hiring a Virtual Administrative Assistant to support a U.S.-based property services company. This role is primarily focused on handling inbound calls, scheduling coordination, and invoice follow-ups. You will work strictly from documented SOPs and must follow escalation rules exactly.
This is not a sales role.
Responsibilities:
Answer inbound phone calls using provided scripts
Identify caller, classify call type, and log call details
Handle common inquiries (scheduling, timelines, job status)
Follow up on unpaid invoices starting 3 days after job completion
Contact customers regarding payment status and document responses
Escalate issues per SOP (delays, complaints, emergencies, payment disputes)
Coordinate internally with install crews and management when required
Maintain accurate notes and records in company systems
Requirements:
Excellent spoken and written English
Prior experience as a VA, admin assistant, or call support agent
Strong attention to detail and ability to follow instructions exactly
Professional phone presence
Stable internet connection and quiet work environment
Availability during U.S. business hours (or partial overlap)
