JOB OVERVIEW

We are a U.S.-based non-medical in-home care agency looking for a reliable, non-linear thinker to handle evening and weekend scheduling, live calls, lead follow-up, and light marketing response.
This is not appointment scheduling. You will be matching caregivers to clients, solving last-minute coverage issues, handling live calls, following up with new and past leads, and developing and responding to marketing inquiries — all while maintaining a positive, calm, and professional tone.
This is a long-term role for someone who takes ownership, thinks on their feet, and communicates clearly.

Schedule (U.S. EST – Fixed)
Tuesday–Friday: 4:30 PM – 9:30 PM
Saturday: 8:00 AM – 7:00 PM (1-hour unpaid break)
Sunday: 8:00 AM – 7:00 PM (1-hour unpaid break)
Total: 40 paid hours per week

Key Responsibilities

• Scheduling & Coverage
• Match caregivers to client needs, hours, preferences, and location
• Handle evening and weekend caregiver call-outs
• Secure and confirm replacement coverage quickly
• Monitor clock-ins/outs and flag issues
• Prepare clean handoffs for the weekday team
• Calls & Communication
• Answer inbound calls from caregivers, clients, families, and prospects
• Speak clear English with a positive, upbeat, reassuring tone
• Calm anxious callers and assess urgency
• Escalate issues appropriately

Lead & Marketing Follow-Up (CORE RESPONSIBILITY)

• Follow up with new and previous leads via call, text, and email
• Respond to marketing inquiries (website, campaigns, referrals, texts)
• Develop and execute integrated marketing campaigns across various channels, including social media, email, and online advertising.
• Create engaging content for website, blog, and social media platforms (e.g., articles, blog posts, social media updates).
• Re-engage inactive or und ---------- leads using approved messaging
• Schedule intake calls, assessments, or service start dates
• Flag hot or time-sensitive leads immediately
• Ensure no lead or marketing inquiry goes unanswered during evenings/weekends

Caregiver Notes Review

• Review caregiver task notes for clarity and detail
• Ensure notes include specifics such as:
• Meals (what was eaten and how much)
• Toileting and bowel movements (when applicable)
• Urine output observations (frequency, color, odor, discomfort if noted)
• Request clarification when notes are vague or incomplete
• Flag concerns or patterns for the office
• (Observational only — no clinical judgment)

This Role Requires

• Non-linear thinking (multiple options, fast decisions)
• Confidence in handling live phone calls
• Calm problem-solving under pressure
• Strong written and spoken English
• Positive, professional communication style
• High attention to detail and follow-through
• Ability to work independently during off-hours

Experience Required

2+ years of experience in:
• Staffing coordination
• Dispatching
• Workforce or service-based scheduling
• VA roles involving live calls and lead follow-up
• Experience matching people to shifts (not booking appointments)
• Experience handling inbound/outbound calls and leads

Compensation
$4–$8/hour (Depending on Experience)
Paid training

Time Tracking
• Manual time tracking with screenshots
• Weekend shifts include one unpaid 60-minute break
• Accurate clock-ins/outs required
