Job Overview
Elite Sedation is seeking a dedicated and detail-oriented Patient Coordinator to provide excellent support to patients, providers, and offices. This role is vital to ensuring a smooth patient experience—from scheduling, pre-op education to post-op follow-up and payment collection.
It is essential that the applicant demonstrates compassion and empathy toward patients, ensuring they feel supported, informed, and at ease throughout their care journey, while also maintaining strong professionalism in communication with partnered offices to support effective collaboration and continuity of care. This position also requires strong organizational skills, reliability, and the ability to manage a high-volume workflow with accuracy and attention to detail.
The Patient Coordinator will manage communication across multiple offices, handle provider schedules, and support families with professionalism and empathy. This position is based in California; however, we hire remote talent internationally.
Key Responsibilities
1. Patient Support & Communication
- Send welcome messages, reminders, and follow-ups to patients and families.
- Conduct pre-op calls/texts to review preparation, medical conditions, medications, and patient readiness.
- Provide attentive customer service to worried or high-need parents.
- Complete post-op calls and assist with follow-up questions or concerns.

2. Provider & Office Coordination
- Communicate with assigned providers daily via Slack, providing updates and case notes.
- Confirm office schedules, start times, and patient lists.
- Handle last-minute schedule changes and provide timely updates to both offices and families.
- Coordinate with offices regarding records, paperwork, and urgent scheduling needs.
3. Administrative & Records Management
- Collect and process patient payments through secure platforms.
- Request, track, and follow up on medical records and consents.
- Maintain accurate notes, patient charts, and Google Calendar updates.
- Ensure schedules and documentation are correct and up to date at all times.
4. Team Collaboration & Coverage
- Provide coverage for other Patient Coordinators when needed.
- Share updates and pending tasks with the team during shift changes.
- Work collaboratively in a high-volume environment, covering 20+ offices weekly with multiple patients per schedule.
Candidate Requirements (Required)
- Previous experience in dental or healthcare administration is preferred.
- Excellent communication (English) and interpersonal abilities.
- Strong organizational skills and meticulous attention to detail.
- Proven ability to multitask effectively and thrive in a fast-paced setting.

Technical/Work Environment Requirements (Required)
- Must have access to two computer screens.
- Must have a backup internet connection in case of power outages.

Work Schedule:
Eight (8) hours between 5:30AM-6:00PM PST (Monday-Friday)
