Role Overview
This role exists for founder leverage.
The founder is currently the bottleneck across administrative work, sales follow-ups, outreach coordination, scheduling, preparation, and internal organization. We’re looking for someone who can reliably take ownership of these essential but lower-leverage tasks so the founder can focus on high-impact work: outreach, discovery calls, presentations, closing, and delivery.
This is not a sales role and not a client-facing role.
You will not close deals or manage clients. Instead, you will support sales and marketing behind the scenes by improving organization, preparation, CRM hygiene, and follow-through.
This role is ideal for someone who is:
- Highly detail-oriented
- Hungry to learn
- Comfortable with structure, process, and routine
- “Techy” enough to work confidently in tools, but not expected to design systems independently early on
What Success Looks Like
Success in this role means:
- The founder spends far less time on admin, coordination, follow-ups, and prep
- Sales pipelines, CRM records, and outreach queues are consistently organized and up to date
- Meetings are well-prepared, follow-ups don’t slip, and internal systems feel calmer and more structured
- Over time, recurring workflows begin to get documented and clarified
Core Responsibilities (Top Priorities)
1. Executive Assistance & Administrative Support
- Manage calendar, inbox triage, and scheduling
- Coordinate meetings, calls, and follow-ups
- Prepare agendas and organize call notes or transcripts
- Maintain CRM hygiene and internal records
- Support billing, invoicing follow-ups, and basic back-office tasks
- Take ownership of recurring administrative work that slows the founder down
2. Internal Sales & Marketing Support (Non-Sales)
- Research prospective clients, companies, and opportunities
- Prepare concise background notes ahead of discovery or intro calls
- Organize leads, deals, and contacts in the CRM
- Queue outreach tasks, reminders, and follow-up sequences
- Support list building and prospect organization
- Draft outreach or follow-up
This work supports sales execution internally through preparation, structure, and consistency — not by selling or interacting with clients.
Secondary Responsibilities (Nice-to-Have, Grows Over Time)
Operations & Light Process Support
- Help translate the founder’s processes and thinking into simple SOPs
- Document recurring workflows as they stabilize
- Maintain task boards or internal systems (Notion, ClickUp, etc.)
- Notice repeated inefficiencies and suggest improvements
You are not expected to design systems or own strategy early on. Execution, reliability, and support come first.
Requirements
- Experience in executive assistance, operations, sales coordination, or back-office support
- Strong written and spoken English
- Extremely detail-oriented and organized
- Dependable, trustworthy, and comfortable with accountability
- Comfortable working with structure, process, and recurring tasks
- Familiarity with tools like Google Workspace, CRMs, spreadsheets, and task managers
- Stable internet connection (with backup) and a quiet work environment
This role is well-suited to someone early-to-mid career who values clarity, consistency, and doing things correctly — not someone seeking a senior title or strategic ownership from day one.
