About the Role
We are seeking a highly skilled and experienced Virtual Medical Assistant to support a growing mental health practice. The ideal candidate is detail-oriented, tech-savvy, confident in patient communication, and experienced in both front-end and back-end medical administration. This role requires the ability to work independently once trained, while also collaborating effectively as part of a clinical team. The environment is extremely fast paced and involves many intricacies. The VA must be able to multitask, possess the ability to use critical thinking skills, and work collaboratively with another VA. Our clients are generally children and adolescents.

Key Responsibilities
• Manage patient intake, scheduling, and ongoing appointment coordination
• Communicate confidently and professionally with patients and families via phone, fax, and secure messaging
• Assist with medical charting and documentation within the EHR
• Process patient referrals and coordinate follow-up care
• Handle prior authorizations (Cover ---------- ds) and medication refill requests
• Perform comprehensive front-office and back-office administrative tasks
• Knowledge with insurance billing and eligibility checks
• Support clinicians with day-to-day operational and clinical workflow needs
• Maintain strict compliance with HIPAA and patient confidentiality standards

Required Qualifications
• Full-time availability for a virtual medical assistant role
• Prior experience in mental health care (child and adolescent experience strongly preferred)
• HIPAA certified
• Hands-on experience with SimplePractice Electronic Health Record (EHR) software
• Experience using Spruce phone and fax software
• Expert-level proficiency with Google Workspace (Gmail, Calendar, Docs, Sheets, Drive)
• Ability to work independently once trained, while remaining a strong team player
• Excellent written and verbal communication skills
• High level of professionalism, reliability, and trustworthiness

Technical & Security Requirements
• Secure, reliable computer with VPN protection
• Stable high-speed internet connection
• Ability to work efficiently in a fully remote environment
