About the Role

We are seeking an experienced, proactive Real Estate Virtual Assistant to support a growing real estate business. This role focuses on social media management, CRM/database organization, client follow-up systems, marketing design, and brand consistency.

The ideal candidate has prior real estate VA experience, understands real estate workflows, and can help elevate the agent’s brand while keeping operations organized, consistent, and professional.

This is a long-term, part-time role with the potential to grow.

Key Responsibilities

Social Media Management (Real Estate Focused)
• Create and manage a monthly real estate social media content calendar
• Schedule posts across platforms:
• Instagram
Facebook
• LinkedIn
• Google Business Profile
• Organize content by category:
• Listings
• Closings
• Testimonials
• Tips & education
• Community content
• Personal brand posts
• Ensure branding, bios, profile photos, and contact information are consistent across all platforms
• Monitor engagement and notify the agent of messages or comments requiring response

Email
Organization & Administrative Support
• Organize inbox using folders and labels
• Flag important emails that require agent attention
• Draft basic email templates for common inquiries
• Remove spam and unsubscribe from unnecessary emails
• Set reminders for follow-ups and important dates

CRM & Database Management (Critical Responsibility)
• Maintain and update the CRM/database, including:
• Past clients
• Active clients
• Leads
• Sphere of influence
• Vendors
• Add notes after closings or conversations
• Tag contacts by:
• Birthday
• Home anniversary
• Client type
• Keep the database clean, accurate, and up to date

Reviews & Reputation Management
• After each closing:
• Send Zillow and Google review requests
• Track completed and pending reviews
• Send polite follow-up reminders when needed
• Maintain a list of reviews for future marketing use

?

Client Relationship & Touch System
• Monthly notifications of client birthdays
• Assist with birthday messages or card preparation
• Provide weekly lists to the agent:
• 5 people to send handwritten notes to
• 15 people to call
• Rotate contacts to ensure consistent long-term outreach

Canva & Marketing Design
• Create marketing materials using Canva, including:
• Social media posts and stories
• Open house flyers
• Client appreciation invitations
• Holiday graphics
• Market update visuals
• Maintain brand templates and visual consistency
• Resize designs for multiple platforms as needed

Client Events & Gift Coordination
• Help organize client appreciation events and pop-by campaigns
• Brainstorm creative gift ideas for:
• Client events
• Closing gifts
• Referral thank-you gifts
• Create invitations, gift tags, and follow-up messages

?

Website & Brand Management
• Keep the website updated with:
• Bio and headshot
• Active listings and sold properties
• Reviews and testimonials
• Contact information
• Ensure brand consistency across:
• Website
• Social media
Email signature
• Marketing materials

Qualifications & Skills (Required)
• Previous real estate virtual assistant experience preferred
• Strong organizational and time-management skills
• Proficient in Canva
• Comfortable working with real estate CRMs such as:
• Follow Up Boss
• KVCore
• LionDesk
• (or similar systems)
• Excellent written communication skills
• Detail-oriented and proactive
• Able to maintain confidentiality
• Self-starter who brings ideas and solutions

Hours & Compensation
• Part-time (hours to be determined)
• Potential to grow into a long-term role
• Compensation based on experience
