About the Role

We are a fast-growing AI-enabled healthcare company providing telemedicine services, urgent care visits, and medical weight loss programs (Semaglutide & Tirzepatide) for the future.

Our company uses AI receptionists and automated workflows to handle calls, texts, and messages. We are seeking a highly detail-oriented Healthcare Operations VA to work with our AI systems—reviewing patient intake, ensuring payments and forms are completed, coordinating with providers, and maintaining workflow accuracy.

This role is critical to daily operations and company scaling.

Key Responsibilities

Monitor and manage patient intake from AI receptionist (calls, SMS, forms)
Review patient submissions for accuracy, completeness, and eligibility
Ensure **payments are completed before visits are processed
Confirm all required medical forms and consents are completed
Manually input intake data into EHR systems (automation in progress)
Coordinate between:

Providers
Medical Assistants
Internal operations staff
Patients
Track and update workflows in GoHighLevel
Communicate with team via Slack
Maintain and update tracking logs in Google Sheets
Assist with appointment flow, follow-ups, and patient communication
Support telemedicine visits, urgent care cases, and weight-loss programs
Track and help ensure daily, weekly, and monthly KPIs are met
Identify workflow issues and suggest process improvements

Required Skills & Experience

Strong English communication skills (written & spoken)
Excellent attention to detail
Comfortable working with technology and automation
Experience or familiarity with:

GoHighLevel (preferred)
Slack
Google Sheets
EHR systems (AdvancedMD, PatientNow, or similar)
Ability to follow healthcare protocols and workflows
Organized, dependable, and execution-focused
Willingness to learn and adapt quickly

Ideal Candidate (Highly Preferred)

Nurse or healthcare background
Experience in telemedicine or clinical operations
Tech-savvy with interest in AI, automation, and digital healthcare
Experience with patient intake, scheduling, or medical admin
Bonus: digital marketing or CRM experience
