CRM & Automation Setup Specialist (Real Estate)

We’re looking for a tech-savvy CRM & automation specialist to help set up and optimize our real estate systems, including CRM workflows, Slack communication, automation tools, and connecting apps to communicate with one and other

This role is project-based to start, with the potential for ongoing work.

-Responsibilities-
• Set up and optimize our CRM (lead routing, tags, stages, custom fields)
• Build action plans / automations for common real-estate scenarios:
• New online leads
• Open house leads
• New construction leads
• Past clients / sphere follow-up
• Configure Slack:
• Channels
• Notifications
• CRM + automation alerts
• Build and manage Zapier automations connecting:
• CRM ? Slack
• Forms ? CRM
• Other tools as needed
• Assist with geo-fencing setup (supporting ad platforms, audiences, pixels, and handoff to ad accounts)
• Test all workflows and ensure data flows correctly
• Document setups and train our team on how to use and maintain systems

Required Skills & Experience

• Proven experience setting up real estate CRMs
(Follow Up Boss, KVCore, Sierra, BoomTown, Chime, or similar)
• knowledgeability with ChatGPT, custom GPT‘s, connecting chat with other apps
• experience connecting Canva, Follow Up Boss, ChatGPT, etc., so that the apps can communicate with one another
• Strong Zapier experience (multi-step Zaps, filters, testing)
• Slack workspace setup & optimization experience
• Familiarity with geo-fencing / location-based advertising
(real estate, events, open houses a plus)
• Ability to explain systems clearly to non-technical users
• Strong attention to detail and documentation

• Real estate marketing experience
• Facebook / Google Ads familiarity
• Experience working with agent teams or brokerages
• Experience building SOPs or training materials

Scope & Timeline
• Initial setup project (estimated 20–40 hours)
• Ongoing support available after initial buildout

Compensation
• $6–$15/hour for experienced specialists

• Open to fixed-price proposals for clearly defined scopes
