Virtual Medical Assistant (Part-Time, Remote)
A virtual medical assistant working remotely on a laptop, coordinating patient paperwork and scheduling.
Our integrative medicine and mind-body wellness practice is seeking a part-time Virtual Medical Assistant to join our team. In this fully remote role (approximately 20 hours per week), you will manage patient scheduling, coordinate intake forms, perform follow-up calls, oversee social media presence, and handle general administrative tasks to ensure a smooth, patient-centered experience. The ideal candidate is organized, tech-savvy, and communicative, with a professional demeanor and a passion for holistic wellness.
Key Responsibilities
Patient Scheduling & Calendar Management: Coordinate all patient appointments and manage the provider’s calendar (booking, rescheduling, and sending appointment reminders).
Intake Forms: Send electronic intake and consent forms to new patients and ensure they are properly completed and submitted before appointments.
Follow-Up Calls: Conduct post-appointment follow-up calls to check on patients’ well-being, address any questions, and schedule any recommended next steps.
Social Media Management: Maintain and grow the practice’s presence on LinkedIn, Facebook, Instagram (including Reels), TikTok, X (Twitter), and Threads – scheduling wellness-oriented posts, responding to comments/messages, and engaging with the online community.
Lead Generation: Identify and research potential patient leads or referral sources in target states (California, North Carolina, Maryland, Illinois) to support practice growth and outreach efforts.
General Administrative Support: Handle day-to-day admin tasks such as managing the practice’s email inbox, updating electronic health records (EHR) and patient records, organizing digital files, and assisting with other tasks to keep the practice running smoothly.
Qualifications
Experience: Previous experience in a healthcare administrative or medical office support role is preferred (e.g. scheduling, medical records management, or clinic reception).
Communication: Excellent verbal and written communication skills, with a friendly and professional phone/email demeanor. Ability to interact compassionately with patients is a must.
Organization: Strong organizational skills and attention to detail to juggle multiple tasks and maintain accurate records and scheduling.
Social Media Savvy: Familiarity with major social media platforms and comfort with basic marketing or outreach tasks online. (Experience creating content or managing business social accounts is a plus.)
Tech & HIPAA Knowledge: Reliable computer, headset, and high-speed internet for remote work. Ability to update and integrate website. Proficiency with email, calendars, and Practice Better EHR software; able to maintain a HIPAA-compliant home office and uphold patient privacy at all times.
Wellness Orientation: Interest or background in integrative medicine, holistic health, or mind-body wellness is a bonus, as it aligns with our practice’s values.
Working Hours & Schedule
Hours: Approximately 20 hours per week (about 4 hours per weekday). Schedule: This role offers flexibility in scheduling your hours, though some overlap with standard business hours will be required for patient communication and tea ---------- etings. The position is fully remote, so you can work from your home office (reliable availability and responsiveness during agreed hours is expected).
