Role Overview
As an HR & Payroll Assistant, you serve as the control point for employee documentation, benefits administration, onboarding support, and compliance record keeping. Your primary responsibility is to ensure all employee files, benefits records, and HR documentation are complete, accurate, and audit ready at all times. This role is ideal for someone who thrives on structure, protects confidential information with care, and ensures no documentation gaps exist from offer letter to termination

What You’ll Be Doing
• Assisting in employee benefits, including enrollments and terminations
• Auditing benefits records to ensure compliance and accuracy
• Managing and maintaining organized personnel files
• Ensuring I-9 documentation is complete, accurate, and compliant
• Preparing documentation for internal and external compliance audits
• Drafting and issuing structured offer letters
• Supporting onboarding and offboarding documentation processes
• Assisting with payroll related documentation (payroll experience is a plus)
• Preparing structured HR reports for leadership
• Sending professional written communication to drivers and tea ---------- mbers
• Proactively following up on missing documents, signatures, or compliance requirements

• Personnel files are complete, organized, and audit ready at all times
• Benefits enrollments and terminations are handled accurately and on schedule
• I-9 documentation remains compliant with no gaps
• Offer letters are structured, error free, and professionally formatted
• Payroll support documentation is organized and timely
• Compliance audits run smoothly with complete documentation
• Leadership receives accurate and organized reports
• Follow ups happen without being asked
• Sensitive information is handled with strict confidentiality

Who We’re Looking For
• Human Resources experience strongly preferred
• Payroll experience is a plus
• Experience working in a US Human Resources is a plus
• Strong written and verbal communication skills
• High discretion and confidentiality
• Detail obsessive and documentation focused
• Process oriented mindset
• Able to manage multiple priorities without reminders
• Strong proactive follow up discipline
• Comfortable operating in a high performance and structured environment
• Self directed and highly accountable

Schedule & Work Setup
• Full Time Remote | Direct Hire to U.S. Company
• Monday – Friday | 7:00 AM – 5:00 PM CST (San Antonio Time)
• Zoom presence required (camera on)
• Time tracking software used for accountability and performance support
