Short-Term Vacation Rental Administrative Assistant
Part-Time | 25 Hours per Week | Long-Term Opportunity
We are a growing short-term vacation rental co-hosting company seeking a reliable, detail-oriented long-term Administrative Assistant to support daily operations and guest communications. This role is ideal for a self-starter who not only executes tasks well, but actively looks for ways to improve workflows, systems, and efficiency over time while helping us deliver exceptional guest experiences.
Schedule: Monday–Friday, 5:00 PM – 10:00 PM EST, Approximately 25 hours per week
Key Responsibilities:
Use Notion to help streamline, organize, and improve SOPs and internal workflows. DO NOT APPLY IF YOU DO NOT HAVE EXPERIENCE WITH NOTION.
Manage and respond to guest communication through Hospitable during scheduled hours
Provide exceptional customer service to guests before, during, and after their stay
Assist with daily administrative tasks related to short-term rental operations
Verify signed rental agreements, guest identification, and access requirements
Manage and confirm door codes and guest access details
Support cabin inventory management, ensuring supplies and amenities are properly tracked
Assist with guest upsells and additional services
Maintain and update operational systems and documentation
Monitor Airbnb and VRBO reservations and messages as needed
Quality-check all work, messages, and tasks for accuracy, completeness, and professionalism before submitting to management or sending to guests
Proactively identify opportunities to improve processes, reduce inefficiencies, and enhance the guest experience
Qualifications:
Strong written and verbal communication skills
Proven customer service experience
Familiarity with Airbnb and VRBO platforms (required)
Experience with Hospitable (strong plus)
Proficient in Notion and comfortable building, maintaining, and improving systems
Highly detail-oriented with strong organizational skills
Demonstrated ability to review and quality-check one’s own work
Self-starter who works independently and takes initiative
Willingness to learn, adapt, and contribute ideas for workflow and process improvement
Tech-savvy and comfortable learning new tools and platforms
