JOB OVERVIEW

We are a fast-growing wholesale real estate company specializing in acquiring and assigning off-market residential properties. The company is owner-led, execution-driven, and operates in a high-volume, time-sensitive environment. We are seeking a highly organized, proactive, and dependable Remote VA who can function as a right-hand operator to the Owner—handling executive support, operational oversight, and process execution.

This role is not entry-level. It requires strong judgment, autonomy, and the ability to manage multiple priorities with minimal supervision.

Position Summary
The Remote VA – EA / Operations Manager will serve as the Owner’s primary support across administrative, operational, and coordination functions. This individual will manage day-to-day workflows, keep the Owner focused on high-level revenue activities, and ensure operational consistency across acquisitions, dispositions, and internal processes.

The ideal candidate is detail-oriented, systems-minded, tech-savvy, and calm under pressure, with experience in real estate operations or comparable high-velocity environments.

Key Responsibilities
Executive Assistant Support:
Manage Owner’s calendar, scheduling, reminders, and follow-ups
Prioritize emails, respond on behalf of the Owner when appropriate, and flag urgent matters
Prepare daily, weekly, and monthly task lists and summaries
Track commitments, deadlines, and deliverables across projects
Act as a gatekeeper to protect the Owner’s time and focus

Operations & Workflow Management:
Oversee daily operational workflows for acquisitions, dispositions, and transactions
Track deal pipelines from lead intake through assignment/close
Ensure tasks are completed by internal tea ---------- mbers and external vendors
Maintain SOPs and enforce process consistency
Identify bottlenecks and recommend workflow improvements

Real Estate Transaction Support:
Coordinate with acquisition managers, disposition managers, buyers, sellers, TC and title as needed
Manage and track contracts, assignments, addenda, and closing timelines
Ensure documents are properly executed and stored
Follow up on earnest money, inspections, and closing requirements
Maintain or assure accurate deal records and status updates

CRM & Systems Management
Ensure data accuracy, task automation, and status updates
Create reports for KPIs, deal flow, and team performance
Integrate and manage tools such as CRMs, Google Workspace, project management software, and communication platforms

Administrative Coordination:
Detailed taking and presenting of Meeting Minutes
Track marketing spend and ROI where applicable
Maintain organized digital filing systems
Team & Vendor Coordination
Communicate with tea ---------- mbers, contractors, and vendors
Schedule meetings and ensure agendas and follow-ups are completed
Assist with onboarding/offboarding of tea ---------- mbers
Enforce accountability without micromanagement

Experience:
Minimum 5 years as a Virtual Assistant, Executive Assistant, Operations Manager, or similar role
Prior experience in real estate wholesaling, real estate investing, or transactional businesses strongly preferred
Experience supporting an entrepreneur or business owner required

Technical Skills:
Expert in Excel
Proficiency with Google Workspace (Docs, Sheets, Drive, Calendar)
CRM experience
Project management tools
Comfortable learning new software and tools quickly
Strong written and verbal English communication skills
