JOB OVERVIEW

About the Role
Car Aid Auto Group is seeking a highly organized, detail-driven Virtual Operations & Executive Assistant to support our Director of Operations and CEO. Helping keep our business running smoothly across five active locations.
This role is critical to maintaining structure, accountability, and follow-through across operations, leadership, and internal systems. You’ll act as a central support hub. Making sure nothing slips through the cracks so leadership can stay focused on growth.

This is a position ideal for someone who thrives on organization, proactive communication, and ownership.

Key Responsibilities
Systems, Process & Organization
• Maintain and organize Google Drive and internal systems
• Monitor team ConnectTeam usage (clock-ins, inspections, forms) and follow up with leadership as needed
• Assist with onboarding processes for new hires
• Maintain internal spreadsheets (fleet, KPIs, calendars, budgets, etc.)
• Prepare documents, spreadsheets, and internal communications

Leadership, Operations & Team Support
• Attend weekly leadership meetings and track action items
• Coordinate tasks, reminders, and follow-ups for leadership
• Assist with hiring materials, and onboarding packets
• Build and maintain educational lessons and quizzes for staff
• Support day-to-day operational needs across shops and HQ

Travel & Family Logistics
• Assist with planning family trips, itineraries, accommodations, and activities.
• Research and book local activities, events, and outings for children and family members.
• Research equipment and supplies for sports and extracurricular activities.
• Support scheduling of kids’ events, practices, and coordination with other parents.
• Household Support
• Research household items, appliances, replacement parts, and other family needs.
• Assist with family schedules, event coordination, and general logistics.

What We’re Looking For
• Experience in a remote admin, operations, or coordinator role
• Strong organizational and time-management skills
• Confident communicator with excellent follow-through
• Comfortable working across multiple systems and teams
• Proficient in Google Workspace
• Experience with ConnectTeam, social media platforms, or website editors is a plus
• You’ll be a key part of keeping Car Aid organized, consistent, and moving forward. Helping leadership focus on growth while you ensure nothing falls through the cracks.
