JOB OVERVIEW

We are looking for a highly organized, proactive, and reliable Virtual Assistant to support the operations of a specialty Physical Therapy clinic and a growing health product brand. This role includes administrative support, scheduling, patient follow-up, CRM and email automation using GoHighLevel, and social media organization.

You will work directly with Dr. Michael Wang, PT, DPT, CCTT, a TMJ and neck specialist, and support both his clinical practice (Newcare Physical Therapy) and his product brand (Iconic Halo / Iconic Motion). US time 4-6 hours.

This is a long-term role for someone who takes initiative, communicates clearly, and enjoys helping people.

Responsibilities
Clinic Administrative Support

Manage email inboxes and respond to basic patient questions

Scheduling, rescheduling, and patient follow-up

Insurance verification (training provided)

Create and organize patient lists, waitlists, and reminders

Prepare simple documents, patient education sheets, and outreach lists

Assist with workflows such as intake forms and follow-up messages

GoHighLevel (GHL) CRM Tasks

(Training provided if needed)

Manage pipelines, tags, and contacts

Set up automations and drip sequences

Send newsletters, SMS reminders, and campaigns

Maintain clean and organized CRM data

Marketing & Social Media Support

Organize video clips, captions, and posting schedules

Upload content to TikTok, Instagram, and YouTube Shorts

Create simple graphics using Canva

Track engagement and help maintain consistency

Iconic Halo / Product Launch Tasks

Assist with Kickstarter prelaunch organization

Manage emails and communication lists

Support outreach to providers (dentists, PTs, chiropractors)

Research suppliers, competitors, or product info as needed

General VA Tasks

Calendar management

Basic data entry

Research tasks

Simple bookkeeping tasks or invoice follow-ups

Project coordination and reminders

Requirements

Excellent written English

Strong organizational and communication skills

Ability to learn quickly and work independently

Experience with GoHighLevel (preferred but not required)

Comfortable with social media posting

Experience with Canva or similar design tools

Reliable internet + computer

Positive attitude and attention to detail
