JOB OVERVIEW

Job Overview

We’re a U.S.-based real estate team looking for a Marketing & Transaction Administrator to join us virtually. This role is a big deal. You’ll be the backbone behind our agents—handling marketing, organizing listings, and helping transactions move smoothly from contract to close.

Important: Only applicants with U.S. real estate administrative experience will be considered.

Work Schedule:

-Full-time (40 hours per week)
-Monday–Friday during CST business hours
-Some flexibility may be required depending on workload

Compensation

Salary negotiable based on experience
30–60 day trial period with step-up increases
Performance-based bonuses available

Key Responsibilities

Marketing Support:
-Manage social media content including graphics, videos, and testimonials
-Create open house, coming soon, and sold graphics using Canva
-Design and send email newsletters through Mailchimp
-Maintain weekly “Testimonial Tuesday” posts and monthly “Things To Do” campaigns
-Post and manage Google My Business updates and geo-tagging
-Update website content and digital buyer/seller guides
-Create personalized content for birthdays, holidays, and team wins

Admin & Team Support
-Daily check-ins with agents
-Track and manage all active files
-Maintain shared email inbox and team CRM
-Assist with recruiting support tasks, including scheduling and outreach
-Ensure brand consistency across all marketing and internal materials

Listing & Transaction Coordination

Pre-Listing:
-Build marketing packets
-Enter listings into MLS
-Schedule photography
-Share listing links and marketing assets

Active Listings:
-Track listing activity and details
-Coordinate open houses and collect feedback
-Update pricing or marketing details in MLS as needed
-Marketing on Business Page Social Media

Pending to Close:
-Assist with compliance and transaction documentation
-Update CRM milestones

Qualifications
-U.S. real estate administrative experience required
-Excellent written and spoken English
-Strong attention to detail and follow-through

Proficiency with:
-Canva
-Mailchimp
-Google Workspace
-CRM systems (Brivity, Follow Up Boss, Sierra, or similar)
-Website tools (google docs, sheets, ect..)

Technical & Availability Requirements
-Reliable high-speed internet
-Noise-canceling headset
-Quiet home office environment
-Must be willing to use Time Doctor for time tracking
-Must have a working video camera and be available for occasional, unscheduled video meetings
-Comfortable working with U.S. time zones and real estate terminology
