JOB OVERVIEW

We’re a fast-scaling e-commerce company looking for a highly organized, execution-focused Operations Manager who will work directly with the Founder and own hiring, team tracking, daily operations, creative support, and personal task execution.

This role is for someone who thrives in structured chaos, can build systems from scratch, and is comfortable switching between business-critical work and personal support when needed.

You are not an assistant waiting for instructions —
You see problems, fix them, and systemize everything.

???? Core Responsibilities

?

1?? Hiring & People Operations (End-to-End)

You will fully own the e-commerce hiring pipeline:
• Source & invite candidates on Upwork
• Filter applications & shortlist candidates
• Coordinate and manage trial tasks
• Run initial interviews
• Coordinate team lead interviews
• Manage hiring decisions
• Handle onboarding (access, SOPs, expectations)
• Track salary, payment terms & start dates

You must understand e-commerce roles, including:
• Creative Strategists
• Media Buyers
• Video Editors
• UGC Creators
• Copywriters
• Operations & Support roles

2?? Team Tracking & Performance Management

You will run daily operational tracking:
• Track:
• Working hours
• Deliverables
• Output quality
• Maintain:
• Bonus tracking
• Performance records
• Collect and organize:
• Daily reports from tea ---------- mbers
• Flag issues early:
• Missed deadlines
• Low performance
• Communication gaps

Your job is to keep the team accountable, visible, and efficient.

3?? Inventory, Finance & Risk Tracking

You will help monitor daily operational numbers, including:
• Track invoices that need to be paid
• Track refunds
• Track daily chargebacks
• Maintain clean, updated logs
• Flag anomalies or urgent issues to the Founder immediately

(You are not doing accounting — you are tracking and organizing.)

4?? Creative & Script Support

You will support the creative strategy workflow, including:
• Downloading, saving, and organizing competitor ads
• Transcribing 20 videos per cycle for creative research
• Uploading and organizing scripts for the creative strategist
• Maintaining clean folders:
• Reference videos
• Transcripts
• Script versions

You don’t need to write scripts —
but you must understand creative workflows and help keep them organized and moving.

5?? Personal & Founder Support Tasks

You will also assist with personal operational tasks, such as:
• Apartment-related coordination
• Food ordering
• Scheduling
• Miscellaneous day-to-day tasks that remove friction from the Founder’s life

This role requires trust, responsiveness, and discretion.

? Requirements (Non-Negotiable)
• Proven experience in e-commerce operations
• Experience hiring & managing remote teams
• Strong experience with Upwork sourcing & filtering
• Highly organized and systems-driven
• Strong written & spoken English
• Comfortable with:
• Slack
• Google Drive
• Tracking sheets
• SOPs
• Fast response time & high reliability
• Able to handle both business and personal tasks

? Big Advantage If You Have
• Experience with 7–8 figure e-commerce brands
• Background in operations, project management, or COO-type roles
• Experience tracking KPIs & bonuses
• Understanding of creative & ad workflows
