JOB OVERVIEW

We are a dynamic German Digital Marketing Agency specializing in high-value services like Content Creation, Website Development, and SEO.

The Founder needs a highly organized, proactive, and multi-talented Executive Virtual Assistant to take over the operational load, manage client projects, and support our content creation efforts. This is a long-term, full-time position (40 hours/week) where you will be the central hub of our operations.

Your Mission: Free Up the Founder's Time

Your primary goal is to professionalize our project delivery and free up the Founder's time for strategy and sales. You will be the crucial link between the Founder, our high-value clients, and our team of expert freelancers.

Key Responsibilities: The Hybrid Role

This role is a powerful blend of Project Management, Data Analysis, and Creative Support.

1. Operational Management & Client Coordination (Approx. 60%)

•Project Hub: Act as the central coordinator for 6-12 retainer clients, managing all communication and expectations.

•Team Liaison: Manage and coordinate the daily tasks of our internal developer, project-based freelancers (design, content), and external strategic partners (SEO).

•Workflow Execution: Ensure all projects move smoothly through our pipeline using our project management tools (e.g., Asana, Trello).

•SOPs: Maintain and update our internal Standard Operating Procedures (SOPs) to ensure consistent quality as we scale.

2. Reporting & Financial Administration (Approx. 25%)

•Data Analysis: Prepare detailed monthly performance reports for clients, gathering data from various sources (Google Analytics, SEO tools, internal tracking).

•Financial Tracking: Monitor project budgets, track resource allocation, and assist the Founder with basic financial reporting to ensure profitability.

•Admin Support: Handle general administrative tasks and scheduling for the Founder.

3. Creative Content Support (Video Editing) (Approx. 15%)

•Video Production: Edit and cut raw footage of the Founder's English-language videos (primarily short-form content for LinkedIn/Social Media).

•Visual Polish: Add dynamic subtitles, engaging motion graphics, and ensure all videos adhere to our brand guidelines.

•Asset Management: Organize and manage our video and content asset library.

What We Are Looking For (Must-Haves)

•Experience: 2+ years of proven experience as a high-level Virtual Assistant, Executive Assistant, or Operations Coordinator, ideally in a digital agency environment.

•Communication: Exceptional written and verbal English communication skills (C1/Native level is non-negotiable). You will be the face of the agency to our clients.

•Technical Skills:

•High proficiency in project management tools (Asana, ClickUp, Trello).

•Advanced skills in Excel/Google Sheets for data reporting.

•Proficiency in a modern video editing software (e.g., CapCut, Adobe Premiere Pro, DaVinci Resolve).

•Work Schedule: Full-time (40 hours/week). Flexible hours, but with significant overlap with Central European Time (CET) business hours.
