Administration Coordinator

Role Overview
The Operations & Administration Coordinator will be responsible for the day-to-day administrative and operational support of CrewPass. This role is central to ensuring smooth internal processes, timely client communication, and accurate delivery of background screening services.
This position suits someone highly organised, detail-oriented, and confident managing multiple administrative tasks across different systems and clients.

Key Responsibilities
Client & Customer Support
Monitor and respond to customer service inboxes in a professional and timely manner
Act as a point of contact for clients, providing updates on account status and ongoing checks
Handle general client queries and escalate issues where necessary


Background Screening Administration
Process out-of-reach background checks across multiple countries
Use screening platforms such as Veremark, Owens, and Giant Background Checks
Track progress of checks and ensure all required documentation is received and processed
Liaise with external screening providers where required


Reporting & Documentation
Create and update client reports using Adobe InDesign
Ensure reports are accurate, consistent with branding, and delivered on time
Maintain organised digital records of reports and screening outcomes


General Administration
Support internal operational processes and workflow management
Maintain client records and internal trackers
Assist with ad-hoc administrative tasks as required to support the wider business



Skills & Experience Required
Essential
Strong administrative experience in a fast-paced environment
Excellent written communication skills
High attention to detail and accuracy
Experience using Adobe InDesign or similar design/layout software
Confident using multiple systems and learning new software quickly


Desirable
Experience with background screening, compliance, or verification processes
Familiarity with Veremark, Owens, or Giant background screening platforms
Experience working with international clients or processes
