ClickUp Automation & Systems Specialist (Ongoing | Make.com Required)

ABOUT THE ROLE
We are a growing luxury travel advisory business looking for an experienced ClickUp automation and systems specialist for an ongoing role.

This is not entry-level work. We are looking for someone who has already built and maintained real workflows, understands how systems behave over time, and can troubleshoot issues independently.

You will work closely with the business owner, so fluent English communication is essential.

IMMEDIATE RESPONSIBILITIES (PHASE 1)

Client Intake

Improve two existing client intake forms built in Jotform (embedded on our website)
Ensure forms are clear, mobile-friendly, and easy for clients to complete
Configure client confirmation emails that include:

A summary of their submission
A secure edit link so clients can update their information

Internal Workflow

Set up internal notification emails with full submission details

Ensure each submission:

Creates a HubSpot Contact and Ticket
Creates a task in an existing ClickUp list

Review existing ---------- automations and fix errors or failed scenarios

Ensure data flows cleanly and reliably between systems

ONGOING RESPONSIBILITIES

Maintain and improve ClickUp automations

Monitor, troubleshoot, and optimize ---------- scenarios

Recommend workflow improvements that reduce manual work

Support additional forms and automations as needed

REQUIRED EXPERIENCE (NON-NEGOTIABLE)

Strong, hands-on ClickUp experience (lists, statuses, custom fields, automations)

Proven ---------- experience (building, debugging, and maintaining live scenarios)

Experience integrating systems (forms to CRM to task management)

Fluent English, written and spoken

Ability to work during Pacific Time hours or with meaningful overlap

MUST ALSO HAVE

Jotform experience

HubSpot CRM experience (Contacts and Tickets)

Clear documentation habits

HOURS AND COMPENSATION

Project-based to start, with potential for an ongoing work

Competitive hourly rate or monthly retainer based on experience

Wage is flexible for the right person. Please apply only if you have senior-level experience.
