JOB OVERVIEW

I run a digital marketing agency with active client work and a growing internal system (Vet Digital Growth). I’m hiring an Executive Operations Assistant to support daily operations, keep projects moving, and protect deadlines.

This is a hands-on role. You’ll work directly with me. Reliability, follow-through, and execution matter more than creativity.

Important – Read Carefully
This role is deadline-driven and operations-focused.

• Daily check-ins are required
• Tasks have clear due times
• Missed deadlines, late follow-ups, or inconsistent availability are not acceptable during probation
• Flexibility is earned after reliability is proven

If you struggle with punctuality, deadlines, or follow-through, this role is not a fit.


Responsibilities

• Manage inbox, scheduling, and follow-up communication
• Prepare summaries, meeting notes, SOPs, and documentation
• Track tasks and deadlines in Asana
• Organize client files, internal documents, and shared assets
• Perform research and deliver clear, concise summaries
• Assist with light tech and admin tasks (GHL, WordPress, Shopify, Google Workspace)
• Upload content, documents, and assets accurately and on time
• Handle basic admin tasks such as logs, receipts, and spreadsheets
• Send daily progress updates and flag blockers early
• Support ongoing operational workflows and internal systems

• You do not disappear, sleep in, or go quiet without notice
• You take ownership of mistakes and fix them quickly


Requirements

• Excellent written and spoken English
• Strong organization and attention to detail
• Proven reliability in past roles
• Comfortable working inside structured workflows
• Comfortable learning multiple tools quickly
• Google Workspace experience required
• WordPress, Shopify, or GHL experience is a bonus
• Stable internet and a quiet work environment
• Willing to follow a clear system and reporting rhythm

Schedule

• Part-time for the first 3 months (probation)
• Transition to full-time only after reliability is proven
• Required overlap: 9:00 AM – 1:00 PM Edmonton, Alberta (MST)
• You must adjust your start time during Daylight Savings
• Monday to Friday


Compensation

• Starting at $5.50 USD per hour (part-time)
• Paid bi-weekly
• Independent contractor role
• No 13th-month pay
• No employee benefits
