We are a high-level, top-producing U.S. real estate team seeking a full-time Transaction Coordinator & Lead Nurturer to support daily operations. This role requires extreme attention to detail, excellent communication, and consistent availability. Accuracy and responsiveness are critical to success in this position.
This is not an entry-level role. We are looking for someone who can work independently and execute without constant supervision.
Role Overview
This role combines transaction coordination and lead nurturing. You will manage real estate files from contract to close while also following up with clients and prospects inside our CRM. This position directly supports active deals and client communication, so reliability and precision are essential.
Key Responsibilities
Transaction Coordination
• Manage real estate transactions from contract to close
• Prepare, assign, and manage files in Dotloop
• Track important dates, milestones, and required documents
• Communicate clearly and professionally with agents, clients, lenders, title companies, and HOAs
• Ensure files are complete, accurate, and properly organized
• Support smooth and timely closings
Lead Nurturing & CRM Follow-Up
• Follow up with clients and prospects inside the CRM daily
•Text, and
• Keep CRM records accurate and updated
• Log notes, conversations, and next steps clearly
• Identify engaged and motivated leads and flag them appropriately
Communication & Support
• Serve as a primary communicator for files and follow-up tasks
• Respond promptly during working hours
• Maintain clear, professional written and verbal communication
• Ask questions when needed, but execute confidently once instructions are given
Required Skills & Experience
• Prior real estate agent transaction coordination experience *required*
• Strong understanding of Dotloop (or similar transaction platforms)
• CRM experience required
• Excellent written and spoken English
• Extremely detail-oriented and accuracy-driven
• Strong organizational and time-management skills
• Able to work independently without constant oversight
• High level of professionalism and accountability
This role is not a fit for someone who needs to be micromanaged or reminded repeatedly.
Schedule & Availability (Very Important)
• Full-time role
• Must be available Monday–Friday during U.S. Eastern Time business hours
• Long gaps in responsiveness during working hours are not acceptable
• Must be on-call Saturday and Sunday for time-sensitive tasks such as sending files or responding to urgent needs
Compensation
• $225 per week
• Paid weekly
