Digital Operations & Systems Assistant (Long-Term | SOPs & Organization)

Job Description

I’m looking for an experienced Digital Operations / Executive Assistant who specializes in organizing digital systems, not just completing tasks.

This role is about designing long-term systems that are clean, logical, and easy to maintain — including file organization, cloud storage structure, and email workflows.

This is not a one-time cleanup. I want someone who can build a professional system and document it with SOPs so it stays organized long-term.

Key Responsibilities

• Design and organize desktop files using a clear folder hierarchy
• Build a cloud-based digital filing system (Google Drive or OneDrive)
• Establish naming conventions for files and folders
• Clean up and organize email inboxes (Gmail / Outlook)
• Create labels, folders, filters, and rules for long-term inbox management
• Document everything with step-by-step SOPs
• Recommend improvements to keep systems clean over time

Required Skills & Experience

• Proven experience building digital file systems and workflows
• Strong understanding of Google Drive, OneDrive, Gmail, Outlook
• Experience creating SOPs / process documentation
• Highly organized with strong attention to detail
• Trustworthy, professional, and comfortable handling sensitive information
• Strong written communication skills
