JOB OVERVIEW

Part-Time to Start (5–20 hrs/week) | Long-Term | Remote

We are hiring an Operations Assistant with a Transaction Coordinator–style skill set to help manage workflows, follow up with people, and keep systems moving.

IMPORTANT:
This is NOT a real estate job, NOT a transaction coordinator position, and NOT a sales role.
The work itself is operations and coordination inside Podio, and TC skills transfer well.

About the Role:
We use Podio as our central system to manage client work, development tasks, and internal projects. Your role will be to monitor activity, follow up with people, update statuses, and make sure nothing stalls.

This is an execution-focused operations role. You will spend most of your time:
• checking queues
• following up
• documenting updates
• keeping workflows accurate and current

What You’ll Be Doing:
• Review tickets, projects, and tasks
• Follow up with team members when updates or ETAs are missing
• Follow up with clients when required information or approvals are pending
• Update statuses, notes, and fields in Podio so the system stays accurate
• Maintain clean Podio apps, views, and queues
• Create simple Podio apps when structure and fields are provided
• Flag delays, risks, or blockers early

** This role requires manual follow-through and consistency, NOT system redesign.

This Role Is a Good Fit If You Have Experience As:
• Transaction Coordinator (skills transferable; not a TC job)
• Operations Assistant or Operations Coordinator
• CRM / Podio Admin
• Project Coordinator (execution-focused, not PM)
• Client Support or Workflow Coordinator
You should be comfortable keeping many moving parts organized and following up until tasks move forward.

This Role Is NOT a Fit If You Prefer:
• Sales or lead management
• Automation consulting or workflow architecture
• Development or coding
• System redesign or optimization projects
• Marketing, social media, or content work
• General “do everything” VA tasks
We already have developers and automation in place.

Required Skills:
• Hands-on experience using Podio
• Strong written English communication
• High attention to detail
• Comfortable following up repeatedly and professionally
• Organized, process-driven, and reliable
• Able to work independently without constant direction
Podio experience is required.
We do not have capacity to train from zero.

Hours & Commitment:
• Start at 5–20 hours per week
• Monday–Friday availability preferred
• Long-term role with potential for more hours as responsibility grows
