We are a U.S.-based real estate business looking for a reliable, detail-oriented, and proactive Virtual Assistant to support daily operations. This is a long-term, remote position with consistent hours and clear systems in place.
This role is ideal for someone who enjoys organization, communication, and process-driven work, and who is comfortable supporting administrative tasks, transaction coordination, and client setup assistance.
Responsibilities
Administrative Support
Organize and manage
Schedule appointments and calendar events
Manage and organize files and folders in Google Drive
Client Follow-Up & CRM
Follow up with leads via
Update and maintain CRM records
Track client status and communication history
Transaction Coordinator Support
Organize transaction documents
Track deadlines and key milestones
Remind the agent of upcoming tasks and timelines
Ensure files are complete for compliance
(No negotiating, no contract explanations, no decision-making required)
Utility, HOA & Solar Setup Support (Administrative Assistance Only)
Prepare utility setup checklists for buyers (water, electricity, gas, internet)
Assist with completing online forms and
Help coordinate HOA account setup by contacting HOA management, organizing portal access, and collecting required documents
Assist with solar transfer coordination by contacting solar companies, requesting transfer packages, and tracking required steps
Organize all related information and provide clear updates to the agent and clients
Important:
This role does NOT involve using client SSN, banking information, or representing yourself as the account holder.
Any phone verification, legal explanations, or financial authorization will be handled directly by the agent.
Social Media Support
Assist with content scheduling and posting (Xiaohongshu / social media)
Light content editing and formatting
Maintain a content calendar (templates provided)
Requirements
Excellent written and spoken English
Strong attention to detail and organization
Comfortable using Google Workspace (Gmail, Docs, Sheets, Drive)
Able to follow systems, SOPs, and checklists
Reliable internet connection
Able to work 5 hours per day, Monday through Sunday
Able to overlap 5 hours with U.S. business hours
Preferred (Not Required)
Real estate, transaction coordination, or VA experience
CRM experience (any platform)
Experience with
Basic Canva or content-editing skills
