About the Role
AB Fire Control LLC is seeking a highly detail?oriented Virtual Personal Assistant / Marketing Intern to support day?to?day administrative, marketing, and compliance tasks. This role is ideal for a student or early?career professional who is comfortable working independently, following written directions step?by?step, and using tools like Canva and AI to execute simple, structured tasks. Workload is light but requires high accuracy.
Key Responsibilities
- Follow detailed written instructions, SOPs, and checklists exactly for each task.
- Use Canva (and Canva AI) to create or edit simple marketing assets based on provided prompts and PDFs.
- Organize, summarize, and format documents and PDFs into clean Google Docs/Sheets or other templates.
- Assist with creating “Tip of the Day” posts, educational graphics, and basic social media content following brand guidelines.
- Support grant?related tasks: saving documents, updating trackers, naming files correctly, and preparing simple application components as directed.
- Help with registrations, license applications, and compliance submissions by accurately transferring information into online forms.
- Maintain tracking spreadsheets for tasks, deadlines, and project status; mark progress clearly and consistently.
- Complete short online trainings and note completion dates, status, and next steps.
- Conduct light research (for example: finding requirements on official websites, basic vendor or tool comparisons) and capture findings in clear bullet?point summaries.
- Perform general virtual assistant tasks such as:
- Organizing Google Drive folders and file names
- Drafting simple
- Capturing meeting notes or action points when needed
Work Schedule & Structure
- Remote position; fully online.
- Approximate workload: 30–60 minutes per day on average (some days more, some less).
- No fixed working hours; most tasks can be done at any time of day, as long as deadlines are met.
- Some assignments will be timed (for example, test tasks or quick?turn items) with clear due dates.
- Potential to increase hours and responsibilities over time based on performance.
Tools & Platforms
- Canva and Canva AI
- Google Workspace (Docs, Sheets, Drive, Gmail)
- Project/tracking tools (e.g., ClickUp, Trello, or similar – training provided)
- ChatGPT or other AI tools to assist with drafting and formatting content
- Google Meet for check?ins and interview / test tasks
Required Skills & Qualities
- Strong attention to detail; you read every line of instructions and follow them precisely.
- Ability to work independently while staying aligned with written directions and priorities.
- Comfortable using Canva for simple design work and adapting templates.
- Basic familiarity with Google Docs and Google Sheets (copy/paste, formatting, simple organization).
- Good written communication skills in English; able to write clearly and professionally.
- Strong organizational skills: can keep track of multiple small tasks, files, and deadlines.
- Willingness to learn and take feedback, especially around accuracy and quality control.
- Reliable, consistent, and respectful of confidentiality when handling business and compliance documents.
Preferred (Nice to Have)
- Prior experience as a virtual assistant, admin support, or social media assistant.
- Experience with project management tools (ClickUp, Trello, Notion, etc.).
- Interest in compliance, safety, nonprofit work, or small?business operations.
- Familiarity with NFPA?96 or commercial kitchen / fire safety topics (training can be provided).
Interview & Selection Process
- Initial screening based on resume/portfolio and brief written answers.
- Short interview via Google Meet (camera optional).
- Completion of 2–3 short, timed task scenarios that simulate real work (for example, following a detailed PDF to create a simple Canva asset or organizing a document).
- Final selection based on accuracy, instruction?following, communication, and reliability.
Compensation
- Paid weekly as an monthly / entry?level assistant role.
- Rate reflects light daily workload with room for increases as responsibilities and independence grow.
IMPORTANT NOTE: Provide a simple weekly checklist or summary of tasks completed, time spent, and any blockers or questions.
Actively use AI tools (such as ChatGPT, Canva AI, or others) to speed up drafting, design, and research tasks.
