JOB OVERVIEW

Job Summary
We are seeking an experienced, highly organized, and customer-service-focused Remote Intake and Office Assistant to join our administrative team. This fully remote position plays a critical role in managing new patient referrals, coordinating care start dates, verifying insurance, and providing administrative support to our clinical teams, all from home.
Key Responsibilities
• Process and manage incoming patient referrals from hospitals, physicians, discharge planners, and other referral sources
• Perform insurance eligibility verification (Medicare, Medicaid, commercial payers) and obtain necessary authorizations
• Collect and review required documentation (physician orders, demographics, medical history, etc.)
• Enter accurate patient information into our electronic medical records (EMR) system
• Coordinate with patients, families, referral sources, and field clinicians to schedule initial assessments and start-of-care visits
• Communicate professionally via phone, email, secure messaging, and fax
• Maintain detailed, organized records and follow up on incomplete referrals
• Provide administrative support, including data entry, scanning, document preparation, and basic reporting
• Assist with compliance-related tasks and ensure adherence to HIPAA and agency policies
• Participate in tea ---------- etings and training via video conferencing
Required Qualifications
• Minimum 2–3 years of experience in healthcare intake, referral coordination, or administrative support — home health experience strongly preferred
• Proven ability to successfully work fully remote with minimal supervision
• Strong knowledge of Medicare, Medicaid, and private insurance verification processes in the home health setting
• Proficiency with electronic medical records (EMR) systems and Microsoft Office 365 (especially Teams, Outlook, Excel, and Word)
• Excellent verbal and written communication skills; professional phone presence
• Exceptional attention to detail and strong organizational/time-management skills
• Reliable high-speed internet, quiet dedicated workspace, and ability to maintain confidentiality in a home office
• Comfortable working across multiple time zones when needed
Preferred (but not required)
• Previous experience with CareVoyant or other common home health EMR platforms
• Familiarity with home health Conditions of Participation and OASIS requirements
• Medical terminology certification or coursework
