JOB OVERVIEW

The Personal Injury Case Manager (Pre-Litigation) is responsible for managing personal injury claims from intake through settlement, ensuring cases progress efficiently while maintaining clear and consistent client communication. This role requires strong organizational skills, attention to detail, and the ability to work collaboratively with attorneys, medical providers, and insurance adjusters. The case manager will oversee medical treatment coordination, gather essential documentation, draft demand letters, and negotiate medical bill reductions.

Key Responsibilities & Expectations:
- Guide clients through the pre-litigation process, ensuring they understand their rights and next steps.
- Regularly check in with clients to provide updates, answer questions, and address concerns.
- Maintain detailed notes on client interactions and case status in the case management system.
- Gather, organize, and manage medical records, bills, and other necessary documentation.
- Assist clients with signing intake documents, HIPAA forms, and other required paperwork.
- Track client medical treatment progress, ensuring proper follow-ups and completion of treatment.
- Coordinate with medical providers to obtain medical records, bills, and treatment updates.
- Negotiate bill reductions with medical providers to maximize settlement value for clients.
- Ensure all relevant case documents are scanned, uploaded, and stored correctly in the case management system.
- Draft and submit demand letters to insurance companies, outlining case details and justifications for compensation.
- Work closely with attorneys to review case strengths, demand values, and negotiation strategies.
- Coordinate with the litigation team if a settlement cannot be reached, ensuring a smooth case handoff.
- Prepare case summaries, medical records, and necessary documentation for litigation review.
- Maintain accurate and up-to-date case files to support litigation efforts when needed.
- Identify and implement improvements in procedures and processes to enhance efficiency and organization.
- Support billing operations by following standard protocols and ensuring financial accuracy.
- Assist with managing incoming and outgoing mail to ensure timely document handling.
- Provide high-quality customer service with a compassionate and detail-oriented approach.
- Demonstrate professionalism and empathy in all client interactions.
- Stay updated on personal injury laws, regulations, and best practices to support case management effectiveness.

Required Qualifications & Skills:
1+ years (2+ preferred) of experience in personal injury case management, claims handling, or a related legal support role.
Familiarity with medical terminology, billing, and insurance claims processes.
Strong understanding of personal injury law, legal procedures, and case management practices.
Excellent verbal and written communication skills for interacting with clients, attorneys, medical providers, and insurance adjusters.
High level of organization and attention to detail to manage multiple cases and deadlines.
Strong problem-solving skills and the ability to work independently in a fast-paced environment.
Ability to handle confidential information with discretion and professionalism.
Customer service-oriented mindset with empathy and compassion for injured clients.
