We are seeking a highly organized, process-driven HVAC Install Manager to oversee the administrative, technical, and coordination aspects of HVAC installation projects. This role is critical to ensuring projects move from estimate to permit to final inspection with accuracy, compliance, and disciplined change-order management.
The ideal candidate is deeply familiar with U.S. building codes, mechanical permitting processes, and HVAC installation workflows, and is comfortable producing and reviewing redline mechanical drawings, managing revisions, and enforcing standardized processes across multiple concurrent projects.
This is not a field-only role; it is a technical, coordination-heavy position requiring strong documentation, communication, and systems thinking.
Key Responsibilities
Permitting & Code Compliance
Lead the mechanical permitting process for residential and commercial HVAC projects, including:
Permit applications, revisions, and close-outs
Coordination with AHJs, plan reviewers, and inspectors
Ensure all installations comply with:
International Mechanical Code (IMC)
International Building Code (IBC)
Local and state amendments
Energy codes (IECC, state-specific energy standards)
Serve as the internal subject-matter expert on code interpretation and inspection readiness
Estimating & Pre-Construction Support
Review and prepare HVAC installation estimates, including:
Labor, materials, equipment, and subcontracted scope
Clarifications and exclusions
Translate estimates into executable scopes of work for installation teams
Support sales and project management teams with technical validation and constructability input
Engineering Drawings & Redlines
Review mechanical plans and specifications for accuracy and feasibility
Produce and manage redline drawings reflecting:
Field conditions
Approved substitutions
Reroutes, resizing, or equipment changes
Coordinate with engineers, designers, and GC teams to resolve conflicts and discrepancies
Maintain clean, auditable drawing sets throughout the project lifecycle
Change Order Management
Own the change-order process end-to-end, including:
Identification of scope changes
Pricing and cost justification
Documentation and client/GC submission
Approval tracking and internal communication
Ensure no work proceeds without proper authorization and documentation
Maintain accurate financial and scope alignment between field execution and contract terms
Process & Documentation Excellence
Build, document, and enforce standardized processes for:
Permitting workflows
Plan revisions and redlines
Change-order tracking
Installation handoffs
Maintain organized project files, logs, and checklists
Support continuous improvement initiatives across installation operations
Cross-Functional Coordination
Act as the central coordination point between:
Sales
Project management
Installation crews
Engineering
Local jurisdictions
Proactively identify risks related to schedule, compliance, or scope and escalate early
Required Qualifications
7+ years of experience in HVAC installation management, project coordination, or mechanical construction
Deep working knowledge of U.S. mechanical and building codes
Extensive hands-on experience with:
Mechanical permits
Inspections and AHJ coordination
Change orders in commercial and/or high-end residential projects
Proven ability to read, interpret, and redline mechanical drawings
Strong estimating and scope-definition experience
Exceptional organizational and documentation skills
High attention to detail and process discipline
Preferred Qualifications
Experience with mixed residential/commercial HVAC portfolios
Familiarity with permitting in multiple jurisdictions
Experience working with GCs, engineers, and design-build environments
Proficiency with construction management or HVAC software (e.g., ServiceTitan, Procore, Bluebeam, AutoCAD, or similar)
