JOB OVERVIEW

We are seeking a highly organised, proactive, and reliable Personal Assistant to support the Managing Director while playing a key operational role in the day-to-day running of our property management portfolio of 100 properties.

This is a full 360 role combining executive support, administrative management, managing properties, and hands-on property coordination. You will be the central point of communication between landlords, tenants, contractors, solicitors, and internal teams.

This role requires strong initiative, and confidence working independently in a fast-paced property environment.

Key Responsibilities:

Executive & PA Support

Full calendar and diary management for the Managing Director

Managing, prioritising, and responding to emails and correspondence

Handling calls, messages, and follow-ups on behalf of the MD

Preparing documents, reports, and correspondence

Booking meetings, site visits, and appointments

Property Management (360 Role):

Daily communication with tenants, landlords, contractors, and agents

Coordinating repairs and maintenance from report to completion

Obtaining and comparing contractor quotes

Logging and tracking maintenance jobs

Chasing contractors and ensuring SLA targets are met

Managing check-ins, check-outs, inspections, and compliance

Liaising with solicitors, councils, and utility providers where required

Supporting with rent queries, arrears chasing, and account updates

Repairs & Maintenance Management:

Receiving and assessing maintenance issues and updating our systems

Prioritising urgent vs non-urgent repairs

Instructing approved contractors

Monitoring progress and ensuring works are completed to standard

Keeping detailed records and updates

Administrative Duties:

Maintaining accurate records across all properties

Updating CRM and internal systems

Filing contracts, compliance certificates, and documentation

Supporting with invoices, reconciliation, and reporting



Key Skills & Requirements:

Previous experience as a PA, Property Administrator, or Property Manager preferred

Strong organisational and time-management skills

Excellent written and verbal communication

Confident dealing with tenants, landlords, contractors, and professionals

Ability to work independently and use initiative

Strong attention to detail

Tech confident (email, calendars, spreadsheets, CRM systems)

Professional, discreet, and reliable

Flexible availability when required

The Hours;

9-5PM Monday to Friday.
