Executive Assistant:
Industrial Packaging Company & Real Estate Admin
- Type: Full-Time
- Reports to: Owner / Principal
About the Role:
- We are seeking a highly organized, detail-oriented Executive Assistant to support the owner of a growing industrial packaging company and a related industrial real estate operation. This role is central to keeping both businesses running smoothly and efficiently.
- The right person will be proactive, dependable, and comfortable handling a mix of administrative, financial, scheduling, and coordination tasks across two business lines.

Key Responsibilities for the Industrial Packaging & Crating Company:
- Assist with bookkeeping support (invoicing, expense tracking, coordination with accountant)
- Help manage insurance policies and renewals
- Coordinate administrative needs with vendors and service providers, such as issuing POs, pricing, etc.
- Update website content as needed (pricing updates, basic edits)
- Maintain and update pricing sheets and internal documents
- General administrative support to free up owner’s time
Key Responsibilities for Real Estate Operations:
- Assist with bookkeeping and property-level financial tracking
- Manage property-related records and documents
- Proofread and format letters for marketing
- Maintain organized digital files for properties and transactions
Qualifications:
- Strong organizational skills and attention to detail
- Comfortable working with numbers and basic bookkeeping concepts
- Excellent written communication skills (proofreading and formatting matter)
- We work with the following softwaresL Google Suites (Google Workspace), Zoho, Xero, Shopify, along with Notion.
- Exact software experience with these platforms is not necessary, but some basis of tech-savvy ability is necessary to be able to learn. We can train in the specifics.
- Able to manage multiple priorities without constant supervision
- Professional, discreet, and trustworthy
Preferred (not required):
- Experience as an Executive Assistant, Office Manager, or Administrative Manager
- Familiarity with small business accounting and/or property management
- Experience supporting an owner/operator or entrepreneur
What Success Looks Like:
- The owner’s calendar is organized and protected
- Books are clean, organized, and up-to-date
- Administrative loose ends don’t pile up
- Communications and documents go out clean and professional
- The owner gains back meaningful time to focus on growth and strategy
